Beatrix Training: Editing Online Profiles (for Support Staff)

  • 00:13All right. Hi, everybody
  • 00:14and thank you for joining.
  • 00:18Today, like Justin said,
  • 00:19we're going to cover how to edit profiles.
  • 00:21So we did cover this briefly in some
  • 00:23of the intro and the intro sessions,
  • 00:25but we're going to take a deeper dive
  • 00:27into each section if we have time.
  • 00:30I do think we're going to spend a little
  • 00:31more time on publications because we have
  • 00:33been getting the most questions about that,
  • 00:35so I'm assuming most everyone else has two.
  • 00:39Anyway, I'm just going to get started so we
  • 00:41leave plenty of time for questions after.
  • 00:43Oh, and just one caveat like
  • 00:46the other presentations.
  • 00:48I am currently in our
  • 00:49development environment,
  • 00:50so you might see me put some silly
  • 00:52stuff into some silly content that we
  • 00:54would never want to actually appear
  • 00:56on our profile in this demonstration.
  • 00:58It's all in our development environment.
  • 01:00We never want to put fake content
  • 01:02on the live site,
  • 01:04the live Beatrix application.
  • 01:06OK, so when after I log into
  • 01:09Beatrix to get to profiles,
  • 01:12I'm going to click on people on the left
  • 01:14side here already you're going to see
  • 01:16some of these gibberish entries here.
  • 01:18That we've tested with users,
  • 01:19but by default we're going to be brought
  • 01:22is a list of every user that I have
  • 01:25access to edit the profile for in the system.
  • 01:29I can search by their name.
  • 01:32As I type,
  • 01:34the results will reduce as I'm typing.
  • 01:37If I type some name that I'm sorry,
  • 01:40that's my cursor.
  • 01:41If I type sub name that does not exist
  • 01:44or that doesn't match any kind of user,
  • 01:47I'm going to get no entries to display.
  • 01:49And that means that my filter or search
  • 01:51is a little too specific and I probably
  • 01:53need to remove some characters here.
  • 01:59Once we have, we can also filter by their
  • 02:03job code that is coming from. Work day.
  • 02:07So everybody in the school has some
  • 02:09kind of classification for their job.
  • 02:13The one thing I'll note is if
  • 02:15you use this faculty filter,
  • 02:16it's going to be 100% accurate
  • 02:18according to how your records this
  • 02:20thing records this information.
  • 02:22But what we have found is that what
  • 02:24we and the departments consider
  • 02:27faculty all don't always 100% match
  • 02:30up with what who is considered
  • 02:33a faculty member in work day.
  • 02:36So if you don't see the person you're
  • 02:38looking for after you filtered a faculty,
  • 02:41please just try removing the
  • 02:42filter and search for their name.
  • 02:43Um, if there is a problem
  • 02:44with the classification,
  • 02:45we could try to address it,
  • 02:46but it probably needs to
  • 02:48be fixed in the HR system.
  • 02:50And occasionally people have
  • 02:51dual roles of some kind and
  • 02:52there's really no good fix and
  • 02:54we just have to work around it.
  • 02:55So with all those caveats,
  • 02:58let me actually jump into a profile.
  • 03:04Again, I'm picking on Doctor Grauer
  • 03:06because he is a very full profile.
  • 03:08This is going to be a little bit of
  • 03:09a rehash from the intro session,
  • 03:11but importantly if.
  • 03:15If I am a comms officer,
  • 03:16maybe I we've identified people
  • 03:18who can spend more time working on
  • 03:20individual profiles and might be useful
  • 03:22for them to have access to one or a
  • 03:24handful of profiles that they are
  • 03:26going to be responsible for editing.
  • 03:28But we might not necessarily want
  • 03:29to give this person access to every
  • 03:32single profile in our organization.
  • 03:33We could handle that by going to each
  • 03:36profile that we want them to be able
  • 03:38to edit and adding them as an editor.
  • 03:41I've already added myself as an
  • 03:42editor who's a little helpful little
  • 03:44description and her info bubble here.
  • 03:48But if I was going to add Justin as the
  • 03:52another profile editor of Jonathan Grauer,
  • 03:56I would just click add.
  • 03:58I'd type his name into this field and
  • 04:00we have both his name, his headshot,
  • 04:02and it's that idea to confirm that this
  • 04:04is absolutely the right person that
  • 04:06I want to give access because maybe
  • 04:08they're three Justin fans, lawyers,
  • 04:09and I'm not sure which one is the right one.
  • 04:13Secondly, name info.
  • 04:18This name that appears here is
  • 04:20what we're getting from work
  • 04:21day if this name is wrong.
  • 04:25You can use this request edit
  • 04:27but a link to contact us,
  • 04:29but we are probably just going to send
  • 04:31you to work today to get that corrected.
  • 04:34We really should correct
  • 04:35this name if it's wrong.
  • 04:36The the person can go into these
  • 04:39display fields and fix their
  • 04:40name here so that at least will
  • 04:42appear correctly on their profile.
  • 04:44But if the wrong name is showing
  • 04:45up here we should make sure it
  • 04:47gets corrected in the system
  • 04:48the record of system of record.
  • 04:50So please either request an edit or you
  • 04:52can even just start work trying to work with.
  • 04:55Are directly to get this corrected so that
  • 04:59we have the right name in all Yale systems.
  • 05:03Display name fields are really more for.
  • 05:06For example,
  • 05:06if Jonathan Grauer went by John,
  • 05:08he might want to have his display
  • 05:11name be John instead of Jonathan.
  • 05:13That's really what it's for.
  • 05:16You can choose to elect to show or
  • 05:18hide your middle name if it's imported
  • 05:20from your profile by using this box.
  • 05:23If you're middle name, is it imported?
  • 05:25Sorry, isn't present in work day.
  • 05:27Maybe that's not the most important
  • 05:28thing that you care about.
  • 05:30You could just put the initial or the name
  • 05:32you want to appear in the middle name field.
  • 05:34Um.
  • 05:34Suffixes are another thing we get
  • 05:36lots and lots of questions about.
  • 05:39Again,
  • 05:39this is a little bit of a rehash,
  • 05:41but I think it's worth going over again if
  • 05:43I want to add additional suffixes here,
  • 05:46I'm free to add whatever familial
  • 05:49and professional suffixes I'd like.
  • 05:52We have some preset lists here.
  • 05:54I think family suffixes are a
  • 05:57little more straightforward for
  • 05:58professional certifications that
  • 05:59people might want to add to their
  • 06:02suffix list on their web profile.
  • 06:04There are many, many more.
  • 06:05Options.
  • 06:06We have a pretty comprehensive list here,
  • 06:08but it certainly is not a complete
  • 06:11list of every suffix that anyone
  • 06:13might ever need to add to their name.
  • 06:16So if you don't see the suffix there for
  • 06:19the professional suffix you're trying to add,
  • 06:22please.
  • 06:23I'm sorry,
  • 06:23I'm working with a smaller screen today,
  • 06:26so I need to drag my own windows over.
  • 06:28Please use this report.
  • 06:29A bug button on the right edge of your
  • 06:32screen doesn't necessarily have to be
  • 06:33a bug that you're telling us about,
  • 06:35this is just an easy way.
  • 06:36For you to contact us and let us know,
  • 06:38hey,
  • 06:38we need another value in this
  • 06:40professional suffixes list,
  • 06:42we'll make sure it's not somehow duplicating
  • 06:43one of the values we already have,
  • 06:45and we'll add it for you.
  • 06:47Academic suffixes are a little bit
  • 06:50trickier because we want to ensure
  • 06:53we have the appropriate educational
  • 06:55information stored in your profile,
  • 06:57even if it's not necessarily
  • 06:58displaying publicly.
  • 06:59We just want to have the backup
  • 07:01information to to be able to
  • 07:03confirm if we had to that this
  • 07:05person does have this degree.
  • 07:07So when I go to academic I'm only going
  • 07:10to see suffixes that the this person
  • 07:14has added educational information for.
  • 07:17Into their profile.
  • 07:18So Doctor Grauer already has added his
  • 07:20and I'm sorry this keeps collapsing on us.
  • 07:23It's a little frustrating.
  • 07:24I should probably fix that.
  • 07:26Doctor Grauer has already added his MD
  • 07:28so I do not see that in the list that's
  • 07:31already appearing in his suffixes.
  • 07:33I do see these see these other two
  • 07:35degrees that he's added as an edge into
  • 07:37his education as options to add as a suffix.
  • 07:41We could take a little bit of
  • 07:43a closer look by looking at the
  • 07:45education page at this information.
  • 07:47I'm just going to switch tabs for a minute.
  • 07:49So I can save my place.
  • 07:52And you'll see we have his
  • 07:57educational history here.
  • 08:00You've got the degrees here if
  • 08:01I need to add some new degree.
  • 08:03Um, I could click add new.
  • 08:07I would select whatever
  • 08:09degree I'm trying to add.
  • 08:12I have no idea what university I might
  • 08:15have to attend to get that degree,
  • 08:17but I'm just going to pretend for now we
  • 08:21do require at least an end date, so we.
  • 08:25The the year that the degree was
  • 08:27conferred so that it could be confirmed,
  • 08:30if we ever had to,
  • 08:31that this degree was actually obtained.
  • 08:34So we'll pretend that he
  • 08:37received it in May 2019.
  • 08:39We'll say we want to display
  • 08:41this data on the profile.
  • 08:43Oh sorry, display this date.
  • 08:45Sorry.
  • 08:46I can also, when I'm adding the suffix,
  • 08:48elect to add it directly to my list
  • 08:51of suffixes by checking off this box.
  • 08:54So this will by checking this.
  • 08:55Box.
  • 08:56It should automatically add
  • 08:57this degree to doctor Grauer
  • 08:59suffixes after I complete it.
  • 09:01The last bit of information that's
  • 09:04required here is the location.
  • 09:09For the institution.
  • 09:10And now I should be able to add the suffix.
  • 09:16And it should show up directly.
  • 09:19If I go back to my overview
  • 09:21and refresh the page,
  • 09:23I'm going to have to refresh
  • 09:24because I didn't actually navigate.
  • 09:25I'm going to see my new degree in this list.
  • 09:31You also can sort these suffixes,
  • 09:34but we do have some rules like
  • 09:36I believe we force the family
  • 09:39suffixes to appear first because
  • 09:40it would just be weird to be doctor
  • 09:43Jonathan Grauer and MD Junior.
  • 09:45But to some extent you,
  • 09:48at least for the professional
  • 09:50certifications and the academic degrees,
  • 09:52you can sort those as you wish.
  • 09:56Foreign languages. This is just nice
  • 09:59information to have specifically for.
  • 10:05Faculty who see patients to have
  • 10:07the languages that they can speak.
  • 10:14We just store a few data points
  • 10:16about that and then this information
  • 10:18will show up in your profile.
  • 10:23Contact information.
  • 10:24We all know this is definitely going
  • 10:26to show up in your profile unless
  • 10:28you indicate it's private like this.
  • 10:30Clinic fax and mobile phone for
  • 10:32example are considered private.
  • 10:33These will not show up on
  • 10:35Doctor Graves profile,
  • 10:37but these first two,
  • 10:38his academic office and office office
  • 10:40fax will display on his profile
  • 10:42because they are set to display.
  • 10:44I could always show or hide these
  • 10:46by toggling this option here,
  • 10:47or I could delete one of these
  • 10:49if it's no longer accurate
  • 10:51if I'm missing some contact.
  • 10:53Information I can click add phone,
  • 10:55select the appropriate type,
  • 10:57and go ahead and add it.
  • 10:59One important note is as you'll see,
  • 11:02there is no appointment phone listed for
  • 11:04Doctor Grauer even though he sees patients.
  • 11:07There is this message here that
  • 11:09says your appointment phone is set
  • 11:10to the Yale Medicine Care Center
  • 11:12number since right now the Care
  • 11:15Center is rolling out department by
  • 11:17department if you are in a if you are,
  • 11:20your faculty member that you're editing
  • 11:22a profile for is in the department.
  • 11:23That is, using the care center,
  • 11:25we're automatically setting this
  • 11:26appointment phone to the care center.
  • 11:29If this causes some kind of issue,
  • 11:32we'd like to know about it.
  • 11:33So again, just oh,
  • 11:34you can always use this report
  • 11:36a bug feature to contact us,
  • 11:38or you can e-mail us at wisn.editor@yale.edu.
  • 11:45Additional e-mail.
  • 11:48I believe this is just the test
  • 11:50value because this is going to be,
  • 11:52this will be the same as
  • 11:54his e-mail that's imported.
  • 11:55Again, we're importing the data
  • 11:57from work day, but if you had,
  • 11:59if for whatever reason you had some
  • 12:02other e-mail that you preferred
  • 12:04to receive communications at,
  • 12:06you could plug this in and click it.
  • 12:08Click this display e-mail checkbox
  • 12:10that will override your standard Yale
  • 12:13e-mail that would appear on the profile
  • 12:15with that display e-mail that's sent here.
  • 12:20Um, assistance?
  • 12:22This is fairly well.
  • 12:25The interface is the same as profile editors.
  • 12:29If I want to add an assistant here,
  • 12:31I could just type their name and they
  • 12:34should start showing up and I could
  • 12:36select their appropriate person.
  • 12:37Assistance do not necessarily
  • 12:39get access to edit the profile,
  • 12:42although we do make it easy for you to elect.
  • 12:46Again, I'm going to use Justin as an example.
  • 12:49We do make it.
  • 12:51Well, that was a bad example because
  • 12:52Justin's already a profile editor.
  • 12:54If I had somebody who's not already
  • 12:56a profile editor,
  • 12:57for example,
  • 12:58I hope me Spire is not already in here.
  • 13:02I will get a confirmation dialog.
  • 13:04Would I like to give this assistant
  • 13:06access to edit the profile?
  • 13:08And I can say yes.
  • 13:09That will automatically both
  • 13:12track Denise as a Denise as an
  • 13:15assistant for Doctor Grauer.
  • 13:17And if I scroll back up, I'll see that.
  • 13:19Denise has also been added as a user
  • 13:22who has access to edit this profile.
  • 13:27This information does not display
  • 13:29on the public website just yet.
  • 13:31We are adding some templates
  • 13:32that will do so soon,
  • 13:34but honestly even more important,
  • 13:37we are working on lots of of new
  • 13:41reporting features for Beatrix and
  • 13:43it'll be really handy for reporting
  • 13:45purposes to have the assistance for
  • 13:47all of the faculty you have them,
  • 13:50so if you know this information,
  • 13:51please do take the time to add
  • 13:53it when you're editing profiles.
  • 13:56Mailing addresses are pretty straightforward.
  • 14:01That's simply the address.
  • 14:03Again, we do have show hide.
  • 14:05Probably is helpful to have at least one
  • 14:08mailing address displaying on the profile
  • 14:10so that they have a mailing address handy.
  • 14:13Locations are a bit more can be a
  • 14:16bit more daunting to manage because
  • 14:18some faculty may have a lot of them.
  • 14:22But this is really important because
  • 14:24this information populates both the
  • 14:26profiles that appear on medicine.edu
  • 14:28and YS h.yale.edu as well as the Yale
  • 14:31Cancer Center site and Patient care
  • 14:33locations like this one will also display.
  • 14:36On the Yale Medicine website,
  • 14:39the clinical practice website.
  • 14:40So when you're adding a new location,
  • 14:43I'm not going.
  • 14:44Should be pretty straightforward.
  • 14:46Importantly,
  • 14:47just make sure you select patient
  • 14:49care if this is a patient care
  • 14:52location or they're seeing patients.
  • 14:54Excuse me? Building.
  • 14:57Sorry, one important note here.
  • 14:59The rest of this is pretty obvious,
  • 15:00but building we do have a
  • 15:02preset list of Yale buildings.
  • 15:07That will populate here if that's.
  • 15:12If you're if there is a Yale building
  • 15:13that's missing here, it's entirely
  • 15:14possible we haven't found a good way
  • 15:16to import this data yet, unfortunately.
  • 15:18So if we are missing building, that's
  • 15:22again another cue to please let us know.
  • 15:24We need to add it to our list again,
  • 15:26it's why sn.editor@yale.edu or click this
  • 15:29reporter bug button in the side column and
  • 15:32we can make sure that building gets added.
  • 15:34Um, other than that, I think the
  • 15:36details are pretty straightforward.
  • 15:38If there is an applicable weighing
  • 15:40floor suite room, please add that.
  • 15:42I mean, usually only one or two of
  • 15:44these is going to be relevant, if any.
  • 15:46You can add a phone for this location,
  • 15:50I'll show you in a minute.
  • 15:51We've done a lot of edits.
  • 15:52I'm going to preview the profile
  • 15:53in a second and give you a minute
  • 15:56to ask questions if you have them.
  • 15:57But this phone will appear as
  • 16:01associated with this location,
  • 16:03so if there's a specific.
  • 16:04Phone you need to get in touch with
  • 16:06Doctor Grauer at this specific location.
  • 16:09You might want to add it here.
  • 16:10It'll show up on their profile,
  • 16:11the location with the phone number.
  • 16:15That's about it for the dresses,
  • 16:18and I'm going to leave the stuff
  • 16:20I don't want to add a new one.
  • 16:22So like I said, let's click
  • 16:23preview this profile and take a
  • 16:25look at what we've done so far.
  • 16:27Actually, not a lot of the changes
  • 16:30are going to show up just yet.
  • 16:34Well, unfortunately I don't
  • 16:36see my suffix edition yet,
  • 16:38which is disappointing,
  • 16:39but you can see at least
  • 16:42for these locations here.
  • 16:45I do have an associated phone number
  • 16:47with this patient care location,
  • 16:49so that is helpful to have.
  • 16:52The mailing address that was already
  • 16:55added to his profile is displayed here.
  • 16:58Umm.
  • 17:05You know, I'm wondering if I didn't
  • 17:07click save on my education page
  • 17:09and that's why I'm not seeing the
  • 17:11other updates I expect to see.
  • 17:13No, they're all saved.
  • 17:16OK, well that's a little disappointing.
  • 17:19These should be updating.
  • 17:20We have been having some issues with
  • 17:22content as some of you have noticed
  • 17:23with content updating on the websites,
  • 17:25and I think this may be is just another
  • 17:28symptom of that problem right now.
  • 17:29Hopefully it'll update a little bit later.
  • 17:33I did promise I would go to
  • 17:35questions now if there are any.
  • 17:36Do we have any questions in the
  • 17:37chat or that anybody has just
  • 17:39been holding in their head that
  • 17:40they'd like to ask at this point?

  • 17:53You're the only bit I left off here for
  • 17:56this overview tab is the lab website.
  • 18:00This is pretty straightforward if I add.
  • 18:04A live website and I don't have no
  • 18:07idea if he has an actual live website.
  • 18:10You just need to put in the name in the URL.
  • 18:13If this preview was working properly,
  • 18:15when I clicked preview it should
  • 18:17show up in the side column.
  • 18:19Here there would be a link to
  • 18:22doctor Growers Lab website.
  • 18:25Um, OK, let's move on to headshots.
  • 18:29There's not a whole lot
  • 18:31that's different here.
  • 18:31The one thing I will say is that we
  • 18:33have discovered that some people,
  • 18:35for whatever reason,
  • 18:37their headshot didn't get
  • 18:38imported with the correct crop.
  • 18:40Um, I'm not totally positive
  • 18:42why this happened.
  • 18:43It doesn't affect everybody.
  • 18:44It's only a subset of people.
  • 18:46But we have had several people
  • 18:48contact us about this right now.
  • 18:50There's no way for me to re crop this
  • 18:53headshot that we imported from the
  • 18:55profile system from the previous system.
  • 18:58We are going to add a way to do
  • 19:00that in the coming weeks so that
  • 19:01we can fix the cropping issues
  • 19:03that some of these headshots have.
  • 19:07So much else to say about headshots
  • 19:10that that hasn't really changed
  • 19:12at all from profile system.
  • 19:14Biography. OK, a few notes here.
  • 19:18The primary bio.
  • 19:19This is pretty straightforward.
  • 19:20The faculty member has the ability
  • 19:23for they or their admin to add
  • 19:26a biography about themselves.
  • 19:29The important thing is that should be brief,
  • 19:32and I think this sentence is really
  • 19:34helpful to describe yourself as you might
  • 19:36end up book jacket in paragraph form.
  • 19:38So that's what Doctor Grauer has done here.
  • 19:42That will appear on his medicine
  • 19:45at yale.edu/his School of Public
  • 19:48Health website Profile if he has one.
  • 19:51Additionally,
  • 19:52there are other biographies that a
  • 19:54especially a faculty member might have.
  • 19:57One type is a organization
  • 20:01specific biography.
  • 20:02The point of this is to allow people who
  • 20:06appear in listings on certain websites
  • 20:08to have a biography that is specific.
  • 20:12To the website they're appearing on.
  • 20:14For example,
  • 20:14Doctor Grauer is very involved
  • 20:16in the office of Academic and
  • 20:19Professional Development,
  • 20:20so he has a bio that specifically appears
  • 20:23if I were to go to the LAPD website
  • 20:26and look him up instead of seeing
  • 20:29this bio that he's entered himself.
  • 20:32When I click his name in a list and
  • 20:33you know what,
  • 20:34I'll try to find this.
  • 20:39You know, I'm not positive where it appears,
  • 20:40so this might be a really bad idea.
  • 20:44But it will just be a lot easier
  • 20:46to demonstrate than explain.
  • 20:51Yes. OK. So I hope it's here.
  • 20:56Yes. So when I go to the office of Academic
  • 20:58and Professional Development website,
  • 21:01I see Doctor Grauer's bio here.
  • 21:03It's actually his organization specific
  • 21:06bio which is specifically about COPD.
  • 21:09I see a special page that previews just
  • 21:13that or that displays just that bio.
  • 21:16I could click through to see this
  • 21:18full his standard profile page by
  • 21:21clicking the view full profile button.
  • 21:23So that's the point of
  • 21:25organization specific BIOS.
  • 21:27The reason why faculty can't edit those
  • 21:29is it might be not at all clear to that
  • 21:32person why this bio exists at all,
  • 21:35let alone why it's different
  • 21:38from their primary biography.
  • 21:40So we blocked them for editing.
  • 21:42They can request an edit,
  • 21:44so if I spot a typo here,
  • 21:46or there's some aspect of Doctor Grauer's
  • 21:49role in LAPD that's not reflected here.
  • 21:53He could click request,
  • 21:54edit and edit as needed,
  • 21:56or add to it as needed.
  • 21:58Send us a request and we'll make
  • 22:00sure it work with the website for
  • 22:02the appropriate website stakeholder
  • 22:03and make that it if appropriate.
  • 22:08Those are. The organization specific
  • 22:11biographies and what they're about,
  • 22:13and the last bit that only faculty
  • 22:16who are in the Yale Medicine
  • 22:18clinical practice will see,
  • 22:20is this YMCA Patient Care biography.
  • 22:24These biographies are written by the
  • 22:26Yale Medicine editorial team, so again,
  • 22:29we're not allowing faculty to just
  • 22:31directly edit this, but they can.
  • 22:33If they have some issue where
  • 22:35something's missing from this biography,
  • 22:37they find some problem they can reach out to.
  • 22:39The Yale Medicine content team by
  • 22:41contacting this address and they
  • 22:43will work with them to correct
  • 22:45whatever the problem is.
  • 22:49Any question about
  • 22:50biographies before I move on?
  • 22:55OK. Education we already covered,
  • 22:59so I'm going to go ahead and skip
  • 23:01past this because it really is
  • 23:03simply adding the degrees with the
  • 23:05appropriate backup information
  • 23:06plus suffix at managing suffixes.
  • 23:08We also output suffixes here so
  • 23:11that you can quickly and easily
  • 23:14manage them if you're making lots
  • 23:16of changes to your education.
  • 23:18Career. This is where the user's
  • 23:21titles are going to appear.
  • 23:24The first title you should always
  • 23:26see in Anyones career tab is going
  • 23:28to be their imported work day title.
  • 23:31You cannot edit this title here.
  • 23:32If this title is wrong,
  • 23:34you need to get in touch with employee
  • 23:36services to correct this information.
  • 23:39As for the other titles,
  • 23:40these can be added by either the
  • 23:43faculty or staff person themself
  • 23:46or by a profile editor.
  • 23:49We actually keep a record.
  • 23:51This is again for internal
  • 23:54reporting purposes.
  • 23:54Even though they won't display on
  • 23:56your profile because it would be
  • 23:58silly because they're in the past,
  • 23:59these past administrative positions
  • 24:01will be appear here and be stored.
  • 24:04This is just helpful for reporting purposes.
  • 24:07If I need to add some new title,
  • 24:09you could see that there are only
  • 24:11these two titles in addition to
  • 24:13doctor Rowers imported title that

  • 24:29well as a little bit of backup
  • 24:32information and then I can add
  • 24:35it to my profile.
  • 24:39It's pretty straightforward.
  • 24:43And to training, this is pretty similar
  • 24:49to the past administrative appointments.
  • 24:52Again, sorry, the yes,
  • 24:54the past administrative positions again,
  • 24:56I can just enter some limited information
  • 24:59about this training that I took.
  • 25:02Or underwent, and once I add it all,
  • 25:06I can choose, well,
  • 25:07I can choose to this show or hide the date.
  • 25:09So again, some faculty don't want
  • 25:12to necessarily give away their age.
  • 25:14We do need it for, again,
  • 25:15verification purposes if necessary.
  • 25:20And I can. Add to my training
  • 25:25history. Um, appointments.
  • 25:30I can also add, we should hopefully
  • 25:32get your current appointments,
  • 25:34but we are not necessarily
  • 25:35going to have information about
  • 25:37all of your past appointments.
  • 25:38So that's really what this
  • 25:40ad new feature is for,
  • 25:41to add non Yale appointments that
  • 25:44are from previous positions.
  • 25:46And again it's a set number of fields,
  • 25:49we need some relevant dates in order to
  • 25:52store it again for record keeping purposes.
  • 25:55That's how you can add it there.
  • 25:58Patents is admittedly a bit
  • 26:02underdeveloped at the moment.
  • 26:04I think there are probably more
  • 26:05changes coming here in the future.
  • 26:06These are really important for the CV people
  • 26:08who are interested in using CV builder,
  • 26:10though they may need to enter patents
  • 26:14here so I don't have eventual plan is
  • 26:17also to import patents from dimensions,
  • 26:22which is the same tool that we're
  • 26:23using to import publications,
  • 26:25so hopefully that will help.
  • 26:27For some of this data.
  • 26:30Yeah, and I, correct me if I'm wrong Justin,
  • 26:33but I'm pretty sure these are not
  • 26:34appearing on the website today
  • 26:36on the profile on.
  • 26:37They're only for CV builder really.
  • 26:40OK. Right.
  • 26:41But again,
  • 26:42I think we'll add the ability in the future,
  • 26:45but they're not really known for now.
  • 26:48They really were just added so we
  • 26:50could make sure we have a complete,
  • 26:51we have all the information
  • 26:53we need for CV builder.
  • 26:54There are probably some changes here
  • 26:56to come if you're adding these do,
  • 26:58if there are multiple Yale people involved,
  • 27:00especially please add the other
  • 27:01relevant people to this patent so we
  • 27:03know it's just helpful and I'll save
  • 27:05some work on the other end and make
  • 27:07sure we don't get duplicate data.
  • 27:12That's really it for patents
  • 27:15questions about the career tab.
  • 27:22OK, patient care.
  • 27:23We spent a little time reviewing
  • 27:25this in the intro session because it
  • 27:28is critical for any faculty who are
  • 27:31appearing on the Yale Medicine website.
  • 27:34I'm going to reiterate some information.
  • 27:35I'll try to give a little more context.
  • 27:38Importantly, specialties are going to help.
  • 27:42Well, they're going to display
  • 27:43prominently on your profile,
  • 27:45so they should reflect what
  • 27:46you're working on.
  • 27:47They're also going to help us
  • 27:50figure out how to associate.
  • 27:53This faculty member's profile
  • 27:55with certain conditions.
  • 27:56The primary relationship we're looking at
  • 27:59is an export of data from the hospital.
  • 28:02We are trying to associate
  • 28:05doctors and specialists with the
  • 28:08conditions and treatments,
  • 28:10the conditions they treat,
  • 28:12and the treatments they perform by
  • 28:14using their ID and CPT codes that are
  • 28:17entered in their medical billing data.
  • 28:19There's no patient information in there.
  • 28:22We're literally just seeing what
  • 28:23kinds of things.
  • 28:24Each faculty member is doing.
  • 28:27And using that information
  • 28:30to associate the faculty and
  • 28:32specialists with specific conditions.
  • 28:35But this other information can
  • 28:37be helpful and provide some
  • 28:40context for the EPIC data which.
  • 28:43Sometimes doesn't give the full picture.
  • 28:46There is this daunting tree.
  • 28:48If you're looking to add a new specialty,
  • 28:50you're probably better off trying
  • 28:52to use this search off the bat.
  • 28:55But if you're not having luck
  • 28:56with the search,
  • 28:57then we are exposing the full tree so
  • 29:00you can dig down to whatever specialty
  • 29:03you are trying to add to your profile.
  • 29:06Once I get past this oh right and
  • 29:09if the specialty doesn't appear,
  • 29:11please click this button and suggested
  • 29:13we add a new specialty to this tree.
  • 29:16Uh, similar similarly to the specialties,
  • 29:19we it would be really helpful,
  • 29:22especially if.
  • 29:23You or the faculty member is noticing
  • 29:26that a particular specialist is not
  • 29:28appearing on the Yale Medicine site
  • 29:31where they would where it would
  • 29:33make sense for them to appear.
  • 29:35To fill out this expertise in areas
  • 29:38of specialization section this allow,
  • 29:40this is the best way for an
  • 29:43individual specialist to get us
  • 29:45the information that might not be
  • 29:47reflected in their epic data.
  • 29:49About the conditions they treat and
  • 29:51the procedures they perform that
  • 29:53they maybe are not showing up for.
  • 29:55For example,
  • 29:56if they have some super specialty for
  • 29:58some rare disease that they're only
  • 30:00going to treat maybe once a year.
  • 30:03But that's really their main focus.
  • 30:04All their research is about this condition.
  • 30:09That definitely needs to be entered
  • 30:11into this list because if we try
  • 30:14to look at that persons epic data,
  • 30:16they're not going to have a whole lot of
  • 30:19billing codes for this really rare disease.
  • 30:21So it's important to indicate that
  • 30:23they are really focused on treating
  • 30:26this specific condition by adding
  • 30:29it to their super specialties here.
  • 30:33How do you want to build your practice?
  • 30:34This is more simply.
  • 30:37There may be some specialties in
  • 30:39our list that that specialist for
  • 30:42whatever reason is not performing often
  • 30:44or maybe hasn't performed at all,
  • 30:46but is looking to get into that area.
  • 30:49They want to add this to this,
  • 30:50add that specialty to this list so
  • 30:52we know that they're trying to get
  • 30:55involved in that other specialty.
  • 30:57We can make sure they appear as a relevant
  • 31:00specialist when prospective patients,
  • 31:01patients are looking at
  • 31:03content about that condition.
  • 31:07And two. Patient interactions
  • 31:11is a very important section.
  • 31:13It's fairly straightforward.
  • 31:14There's a series of yes or no questions,
  • 31:17but depending on how you
  • 31:18answer these questions.
  • 31:19For instance, if the person answers no
  • 31:21to do you provide direct patient care and
  • 31:24or clinical services related to patients,
  • 31:26they are not going to appear
  • 31:28on the medicine site at all.
  • 31:29So if you know of a faculty member who
  • 31:31should be appearing as a specialist
  • 31:33on Yale Medicine but is not,
  • 31:35the very first thing to check is to
  • 31:38make sure this value is set to yes.
  • 31:41It's also really helpful to know if
  • 31:42they see patients by appointment or not.
  • 31:44For example,
  • 31:45a pathologist is going to be related
  • 31:47in clinical services for patients.
  • 31:49They might never have an appointment
  • 31:51with the patient.
  • 31:52So that's just useful to know.
  • 31:54We will make information available to
  • 31:56prospective patients to make appointments
  • 31:59for people who indicate yes here.
  • 32:02And.
  • 32:05This other information I think
  • 32:07is relatively straightforward.
  • 32:09There is going to be a lot more
  • 32:12work coming soon with regards
  • 32:15to booking appointments online.
  • 32:17We've been working with the hospital on that.
  • 32:19I don't have a whole lot of information
  • 32:21right now because it's not live just yet,
  • 32:23but it should be relatively soon.
  • 32:25So there will be more information
  • 32:27about booking appointments online
  • 32:29and the coming months. Lastly.
  • 32:33I think lastly in this list,
  • 32:35sorry, almost lastly,
  • 32:37are a list of the yalemedicine.org articles
  • 32:40that this person is going to appear in.
  • 32:44Occasionally there might be an
  • 32:46article that is not really so
  • 32:48relevant to what the specialist
  • 32:49is doing their day-to-day work.
  • 32:51They can choose to hide themselves
  • 32:53from that article if it's
  • 32:56really just totally incorrect.
  • 33:01That's. Really all there is to it there.
  • 33:04Some of these lists are a lot longer.
  • 33:08But this is their recourse.
  • 33:09If for some reason they get
  • 33:11associated with the fact sheet that
  • 33:13they should not be associated with,
  • 33:15they can disable it here. It's if um.
  • 33:19I'm going to give a similar spiel
  • 33:21in a second about publications, but.
  • 33:24If you're seeing a lot of
  • 33:26incorrect articles here,
  • 33:27please don't just go through
  • 33:28and disable all of them.
  • 33:29If there are a lot of incorrect articles,
  • 33:31it might be that there's something
  • 33:32wrong with our data and that
  • 33:34this person is getting associated
  • 33:36with articles that do not belong.
  • 33:37So if you see lots of articles
  • 33:39that simply do not match with
  • 33:41what the specialist is working on,
  • 33:44please again contact us.
  • 33:45Report a bug,
  • 33:47let us know that something is
  • 33:48off with the way this person is
  • 33:49being associated with content on
  • 33:51the Yale Medicine site.
  • 33:54Very last thing that's gonna appear
  • 33:56here is board certifications.
  • 33:58These are 100% imported data.
  • 34:00I can't edit anything here if I am
  • 34:05someone who's practicing all medicine
  • 34:07because we really should have your data.
  • 34:11In a system of record,
  • 34:12if you are seeing patients for Yale,
  • 34:15so if there is some kind of issue here,
  • 34:18please request an edit to let us know.
  • 34:20Users who are not part of Yale Medicine
  • 34:23can add their own board certifications,
  • 34:25but we found that.
  • 34:28The point was to allow them to add
  • 34:30the board certification so that they
  • 34:32could display those on their profile,
  • 34:34their academic profile.
  • 34:35If they have them on,
  • 34:37they might be interested in showing
  • 34:38that they have that certification.
  • 34:40But it turns out because of the
  • 34:42what the logic we're using to
  • 34:44display specific tabs of a profile.
  • 34:46So on our profiles,
  • 34:47we have the the Biography tab,
  • 34:49the Research Publications tab,
  • 34:50the Patient Care tab.
  • 34:52We've noticed that most of the people
  • 34:53who are not in Yale medicine do
  • 34:54not get a patient care tab at all,
  • 34:56and therefore even if they
  • 34:57are allowed to manually.
  • 34:59Winter or certifications,
  • 35:00it's not going anywhere because they don't
  • 35:03have a patient care tab on their profile.
  • 35:06This isn't happening super soon,
  • 35:09but we are going to be working on a
  • 35:11new profile layout sometime the next
  • 35:13year that will make sure we will make
  • 35:15sure that those board certifications
  • 35:17get exposed on the profile for the
  • 35:20users who are not seeing patients.
  • 35:23In that capacity at Yale,
  • 35:25but want to demonstrate want to show
  • 35:28their certification on their profile.
  • 35:30I believe this is when I referenced the
  • 35:33links that Denise has been helpfully
  • 35:35sharing throughout the meeting.
  • 35:36There is a page with lots and
  • 35:38lots of information about how all
  • 35:40this these options work on the
  • 35:42Patient care tab that she shared,
  • 35:44but if anyone has questions right now
  • 35:45before I move on to another section,
  • 35:47I can try to answer them.
  • 35:49Any questions about patient care tab?
  • 35:56All right, this is a little too easy so far.
  • 35:58On to honors. Um, these are broken
  • 36:03out into several categories.
  • 36:05And this. Is really, uh.
  • 36:07These categories are really for the CV.
  • 36:09That's why it's not just
  • 36:10one big list of honors.
  • 36:12There are specific categories that are
  • 36:15important when it comes to building the CV.
  • 36:19So it might seem silly that there's
  • 36:21all these different categories,
  • 36:22although I think we're going to remove
  • 36:24unknown because that is really just overkill.
  • 36:26Especially when you already have other award.
  • 36:29These other categories are necessary.
  • 36:31There's a reason they're here to make
  • 36:33sure the CV gets constructed properly,
  • 36:35but again.
  • 36:36Like when a lot of the other
  • 36:38information we've been talking about.
  • 36:40When I want to add a new one,
  • 36:43there are a few required fields here.
  • 36:45I have to give the name of the award.
  • 36:46Obviously I have to choose which of those
  • 36:49categories that I was just scrolling
  • 36:51through is appropriate for this award,
  • 36:53so I don't need to worry about.
  • 36:55Importantly,
  • 36:55I don't really need to worry about
  • 36:57where I click this add new button.
  • 36:59If I click add new under Yale
  • 37:00School of Medicine award,
  • 37:01it'll pre populate the category.
  • 37:03But if I realize that's not right,
  • 37:04I can just change it.
  • 37:05So don't stress if you just
  • 37:07want to add a new one,
  • 37:08just click add new wherever you
  • 37:09see it first and then you can fix
  • 37:11this category later if you want to.
  • 37:13And again,
  • 37:14we do require I believe at least
  • 37:18a date to indicate when this was
  • 37:21for record keeping purposes again.
  • 37:23And once I Add all that required info,
  • 37:25I can add it to the list.
  • 37:27And like most other information
  • 37:29in the profile I can choose.
  • 37:30I might maybe I add some award.
  • 37:32I don't really want to display out
  • 37:33my profile, but I need it for my CV.
  • 37:35I might just choose to hide that from
  • 37:38my profile by using this toggle here.
  • 37:40Then it won't display on the web profile,
  • 37:42but I will have this data available
  • 37:44when I go to construct my CD later on.
  • 37:46That's honors.
  • 37:47Umm.
  • 37:48I'm just going to move straight on
  • 37:52to research here.
  • 37:54Currently we are thinking of
  • 37:56reevaluating this.
  • 37:57Currently we still have these two
  • 37:59separate fields for research description.
  • 38:01Brief research summary is really
  • 38:04what we are hoping.
  • 38:05This is actually a pretty good one.
  • 38:09Really we want just a very almost
  • 38:12elementary level explanation of what
  • 38:14their research is about as as in
  • 38:17as simple terms as they can put it,
  • 38:18what their research is about.
  • 38:20So that someone who is maybe not a
  • 38:22scientist or doctor could understand kind
  • 38:24of the things they're working on day-to-day.
  • 38:27And then we provide an extensive
  • 38:29research description where they
  • 38:30can really get into the details of
  • 38:32the research you're doing.
  • 38:34Um,
  • 38:34in addition,
  • 38:36we have these research interests right now.
  • 38:40These are simply manual lists that
  • 38:44appear on the profile the mesh keywords.
  • 38:48And actually,
  • 38:50I think the public health keywords as well
  • 38:52are involved in a use for an alternate.
  • 38:56Um. View of this. And now I'm
  • 38:59forgetting what the site is called.
  • 39:04But depending on the. Mesh keywords
  • 39:07that a faculty member associates
  • 39:10themselves with, they will appear.
  • 39:14As associated with.
  • 39:18Specific keywords that they
  • 39:20are interested in researching.
  • 39:23And it builds this great directory of
  • 39:25faculty research interests that's promoted
  • 39:27to the medical students every year,
  • 39:28so they can try to find mentors who
  • 39:30might be interested in the same
  • 39:32kinds of research that they are.
  • 39:34So if there's some student
  • 39:36who is really interested in.
  • 39:39Anticoagulants and I should
  • 39:40have checked this beforehand.
  • 39:41OK, we have at least one person,
  • 39:42and this is somebody who reached
  • 39:43out to us about the headshot issue,
  • 39:45so that was really lucky of me.
  • 39:49So when I click on the research keyword,
  • 39:51it's going to show me a list of everybody
  • 39:53who's associated with this keyword.
  • 39:54It turns out only doctor
  • 39:55Faustino's associated. Here.
  • 39:56Let me try to just so we get a better
  • 39:59idea of how this actually looks.
  • 40:01OK, so I picked biomarkers
  • 40:03and I get a lot more people.
  • 40:05And then also helpfully on this
  • 40:07website and I'm just showing off
  • 40:09this website a little bit, but.
  • 40:14When I view a profile on this website,
  • 40:16we show a slightly different view of the
  • 40:19profile that's geared toward research.
  • 40:21And in this view,
  • 40:22we will expose the coauthors,
  • 40:24who are other Yale faculty who have
  • 40:27co-authored papers with this person.
  • 40:29So we're just trying to make connections
  • 40:31between the faculty so that it's easier
  • 40:33for the students to find somebody that
  • 40:35might be a suitable mentor for them.
  • 40:37Maybe they can help them
  • 40:38out with their own research.
  • 40:40There's a lot more functionality
  • 40:42coming here in the future that I
  • 40:44do not even have a timeline for,
  • 40:46but we are hoping to apply some
  • 40:48of the same AI principles that
  • 40:50we're using on the medicine.
  • 40:51Website to the research keywords
  • 40:53that we have so that we can try to
  • 40:57automatically make these connections
  • 40:59rather than relying on people going into
  • 41:02their profile and selecting from this
  • 41:05giant medical subject headings list,
  • 41:07which is this list maintained by NIH.
  • 41:10Rather than having requiring them
  • 41:12to manually go in and select
  • 41:14these keywords from this list,
  • 41:16which can be very daunting to deal with.
  • 41:21That we can automate,
  • 41:23try to automatically associate.
  • 41:24Faculty with keywords based primarily
  • 41:26on their publications is most likely
  • 41:28where this data is going to come from,
  • 41:30and maybe a few other sources.
  • 41:32Anyway, that is a bigger project
  • 41:34that is coming down the line.
  • 41:36Eventually.
  • 41:39The last the last section of this.
  • 41:44Research section is research images.
  • 41:48I'm planning to just move this to
  • 41:49another section of the profile and
  • 41:51it could be a general image bank
  • 41:53because obviously not everyone.
  • 41:54Lots of faculty and staff have images
  • 41:57that are somehow relevant to their profile.
  • 41:59They would like to display them.
  • 42:01They're not always research images.
  • 42:03I don't think we needed educated
  • 42:05research images first.
  • 42:06We're just going to be a generic
  • 42:08media section that will probably go.
  • 42:12We'll probably expand this links
  • 42:14functionality so if a faculty
  • 42:16member the short story.
  • 42:18Is if a faculty member has some
  • 42:20image they want to display on
  • 42:21their website on their profile.
  • 42:23I mean,
  • 42:23right now their only recourse is
  • 42:25to add it through research images.
  • 42:26Even if it's not a research image,
  • 42:29soon we will be moving this section
  • 42:31and it's so it's in a more logical
  • 42:33place and it's more of a generic
  • 42:36media bank for just content they want
  • 42:38to make available in their profile.
  • 42:41So that's research images.
  • 42:42Any questions about honors or research
  • 42:45before I jump into publications?
  • 42:52OK, and I think I could spend
  • 42:53a lot of time on publication,
  • 42:54so I'm going to really quickly go
  • 42:56through a few of these other sections.
  • 42:58I'm just going to jump ahead a little news.
  • 43:01News. This is literally just going
  • 43:03to list all the articles that this
  • 43:05special this person is tagged in.
  • 43:08They can remove themselves from the
  • 43:09article by clicking this little trash can.
  • 43:11Maybe it was made in error.
  • 43:14Maybe they're just are not interested in
  • 43:16being associated with that article anymore.
  • 43:17When they get Googled,
  • 43:18they can remove themselves here.
  • 43:20Same thing for events.
  • 43:23If I go to events,
  • 43:24I'm going to see a list of events
  • 43:25that I or the person whose profile
  • 43:27I'm looking at is tagged in.
  • 43:29I can review the details for that event.
  • 43:32If it's for whatever reason
  • 43:33I want to remove myself,
  • 43:35I can do that using this trash can.
  • 43:39Clinical trials.
  • 43:42Try to do this really quick.
  • 43:45This will be a combination of trials
  • 43:48that are imported from the system
  • 43:51of record maintained by Encore,
  • 43:53maintained by CI and it also,
  • 43:56for CD purposes may contain information
  • 43:59that was manually entered by the faculty
  • 44:03or staff member because it's a past
  • 44:05trial that is not going to ever be,
  • 44:08that was not ever and will never
  • 44:10be in yales instance of Encore.
  • 44:12That's what the ad pass trial is
  • 44:14for and that's why we label it.
  • 44:15Is add pass trial.
  • 44:17Because if a faculty member comes to
  • 44:19this page and they don't see a trial
  • 44:21that they are currently working on
  • 44:24at Yale and then something's wrong,
  • 44:26they really should see it.
  • 44:27We should have it in encore for 100%.
  • 44:30If there's an active trial at Yale,
  • 44:32it has to be an encore.
  • 44:33We should have the data.
  • 44:35So again, if we don't see a current
  • 44:38or pending trial, that's.
  • 44:40That should be appearing here.
  • 44:42Please contact us.
  • 44:43Don't try to add it as a past trial.
  • 44:46Past trials are really only for the CD.
  • 44:51Organizations, I just want to point this out.
  • 44:53This can be really handy just for
  • 44:54seeing where this is a much improved
  • 44:57interface over profile system.
  • 44:58Just helpful for seeing what
  • 45:00organizations this faculty member or
  • 45:03staff member or whoever belongs to.
  • 45:05When these items appear here in Gray,
  • 45:08it simply means they're not a member of this
  • 45:11org, but if it's appearing in this list,
  • 45:12it means they're in some subset
  • 45:16of an org and it looks like.
  • 45:19The. Development team was doing
  • 45:21some testing with this one.
  • 45:22I don't think this is real,
  • 45:24but just demonstrates how
  • 45:26this highlighting works.
  • 45:27They might not be a member of these
  • 45:30overarching organizations and they're not
  • 45:32going to be appearing on the website if
  • 45:34there are websites for any of these orgs,
  • 45:37but they are the member of
  • 45:39some child org of that.
  • 45:41Organization.
  • 45:44We do want to make some more
  • 45:45improvements here so that,
  • 45:46for example,
  • 45:47if I had the access to manage the membership
  • 45:50for the center of musculoskeletal care,
  • 45:52I could click here and it take me
  • 45:54directly to that organization.
  • 45:56That's something that'll come a bit later.
  • 45:59I will mention really quickly
  • 46:01about Canonical URL.
  • 46:02This will determine basically
  • 46:04what the top result is when this
  • 46:06person gets searched for on Google
  • 46:09and where it's pointing to.
  • 46:11So for example, I believe.
  • 46:13This matches what's in production,
  • 46:15but if I look up Jonathan Grauer,
  • 46:17sorry, on the live website.
  • 46:18I mean,
  • 46:19if I look up Jonathan Grauer his profile,
  • 46:23the top result is rendered at
  • 46:27madison.yahoo.edu/profile doctor.
  • 46:28Grauer does have the option,
  • 46:30if he wished to,
  • 46:32to select another organization that
  • 46:34he's a member of that has a website URL
  • 46:37like orthopedics and rehabilitation.
  • 46:39What this would do is instead of
  • 46:41the top result being basically.
  • 46:43In the home School of Medicine site instead,
  • 46:46I would see his profile.
  • 46:50On. The orthopedics website.
  • 46:56So that just gives them a little bit
  • 46:58more control over how they would
  • 47:00like to be represented on the web.
  • 47:02That's what that Canonical
  • 47:04organized URL fields all about.
  • 47:07And now,
  • 47:07just because we're running out of time,
  • 47:09I'm going to go to publications.
  • 47:10We did cover these pretty
  • 47:12extensively in the overview,
  • 47:13but I wanted to go over it again.
  • 47:16These this is probably the page
  • 47:17that most faculty are going to
  • 47:19be steered toward because they're
  • 47:21going to get e-mail notifications
  • 47:22if they have pending publications.
  • 47:24You faculty will have pending
  • 47:26publications if they have a
  • 47:28dimensions profile associated
  • 47:30with their profile and Beatrix.
  • 47:32And just for reference,
  • 47:35dimensions is this external tool.
  • 47:38Oops.
  • 47:41What's not working?
  • 47:46OK, well that's supposed to link 2.
  • 47:51The dimensions AI website.
  • 47:55And you know, I'm not gonna be able
  • 47:56to pull up this profile quickly.
  • 47:57That's supposed to be linking to
  • 48:00doctor Grauer's profile on dimensions.
  • 48:03And it is. Dimensions is the third
  • 48:07party API tool that we're using to.
  • 48:10Associate publications with
  • 48:12faculty and staff at the school.
  • 48:16Doctor Grauer has already
  • 48:17reviewed his profile,
  • 48:18so he has no pending currently.
  • 48:20But if he had published,
  • 48:23if there was some new publication
  • 48:25that got published, if doctor,
  • 48:27growers and author Dimensions
  • 48:29should identify him as an author,
  • 48:31it will pop into the next day,
  • 48:33it'll pop into his pending publications list.
  • 48:36He will get an e-mail notification
  • 48:39that next day to come to this page and
  • 48:42approve or reject that publication.
  • 48:43Assuming he approves it,
  • 48:44it'll show up in this.
  • 48:46Accepted tab where you can see
  • 48:48all of his publications have
  • 48:50been previously imported.
  • 48:51He will want to make sure
  • 48:53to set the category.
  • 48:54The vast majority are probably going
  • 48:55to be peer reviewed original research,
  • 48:57but we do have these other
  • 48:59categories if needed.
  • 49:02I can always if I accept
  • 49:03something by accident,
  • 49:04I can open this accepted drop
  • 49:06down and change it to rejected to
  • 49:08remove it from my list entirely.
  • 49:10Please note it's faculty and
  • 49:11staff should really only reject a
  • 49:14publication if it's truly not theirs.
  • 49:16If they just don't want it to
  • 49:17display on their web profile,
  • 49:18they should use this private
  • 49:20toggle here that will prevent
  • 49:22it from appearing on their
  • 49:23profile or anywhere publicly. Um.
  • 49:29There is also the option
  • 49:32to feature publications.
  • 49:33This will force that normally they will
  • 49:35just be displayed in chronological order,
  • 49:37most recent to oldest.
  • 49:40The faculty and staff can overwrite this,
  • 49:43override this option by featuring
  • 49:46publications and this will force those
  • 49:48featured publications to appear at the top.
  • 49:51Currently, right now we have it limited
  • 49:54to five based on popular demand.
  • 49:56We are going to increase this to 20 simply
  • 49:59because there are lots of faculty or in
  • 50:01a similar situation to doctor Grauer,
  • 50:03they have hundreds and hundreds of
  • 50:05publications and they can't choose just five.
  • 50:06So we're going to,
  • 50:08we're going to upgrade it to 20
  • 50:09so they can choose.
  • 50:1020 but we're really we're trying to keep
  • 50:13some kind of limit because if you're
  • 50:15featuring 50 items they're really not
  • 50:18even featured anymore because you're just.
  • 50:21It's not.
  • 50:22You want to actually feature these
  • 50:24publications and indicate they're
  • 50:25more important than the rest,
  • 50:27for whatever reason.
  • 50:29A couple other important notes
  • 50:32about managing publications if.
  • 50:34And this will generally happen with
  • 50:36people who haven't looked at it before.
  • 50:37But if they go to their pending
  • 50:39publications tab and they see dozens
  • 50:41of publications that are not theirs,
  • 50:42or even they have 10 publications
  • 50:45and seven of them are wrong,
  • 50:47it probably means that the import settings
  • 50:49that we have for this person are incorrect,
  • 50:52and that person should reach out to us to
  • 50:54correct their import settings for dimensions.
  • 50:57So please,
  • 50:58we're actually going to add some
  • 51:00handling in the next few days so
  • 51:03that if somebody starts rejecting
  • 51:04lots and lots of publications,
  • 51:06we'll get a little pop up.
  • 51:07That says, hey,
  • 51:08it looks like your import
  • 51:10settings might be wrong,
  • 51:10please contact us.
  • 51:11But for now there's no limit on that.
  • 51:14There have already been a couple of
  • 51:16instances where people spent lots of
  • 51:18time rejecting a ton of publications.
  • 51:19That's really just a waste of time,
  • 51:21because the real problem
  • 51:22is that the imports wrong,
  • 51:23and once we fix that,
  • 51:24those problems should be resolved.
  • 51:26They might have to reject a few
  • 51:28that are not really belong.
  • 51:29I'm not going to say dimensions
  • 51:31is 100% accurate all the time,
  • 51:33but generally we've seen it's
  • 51:35like 95 to 98% accurate.
  • 51:36It's very it should be very close.
  • 51:38To 100% accurate.
  • 51:39So if it looks really wrong,
  • 51:41please reach out to us before you or
  • 51:43a faculty member try to go through
  • 51:46and accept or reject everything,
  • 51:48or reject lots and lots of content,
  • 51:50basically.
  • 51:53Last bit really important.
  • 51:55Just like profile editors,
  • 51:57a faculty member can designate
  • 51:59somebody to review their publications.
  • 52:00This works exactly like the
  • 52:02profile editor permission.
  • 52:03The one difference is that
  • 52:05this person will only have
  • 52:06access to their publications.
  • 52:08So maybe they, the faculty member,
  • 52:10would like to have complete
  • 52:12control over their biography and
  • 52:13career information and all that.
  • 52:15I don't have time to do
  • 52:17this publication review bit.
  • 52:18They can add somebody who is
  • 52:19specifically going to review
  • 52:20their publications here.
  • 52:24I think I'm going to stop there because
  • 52:26you only have a few minutes left.
  • 52:27I know we haven't had questions yet,
  • 52:29but if anybody has questions,
  • 52:31now would be the time to ask.

  • 53:07All right. Mark, a question just popped
  • 53:09in the chat about training for CV builder.
  • 53:14Umm. We don't have anything scheduled,
  • 53:17but we could schedule something.
  • 53:20It's honestly very straightforward
  • 53:22and we're happy to.
  • 53:25I point you to the OA PD website,
  • 53:29which contains like actual
  • 53:31information about the kind of content.
  • 53:34The CV builder itself is a
  • 53:37very straightforward tool that
  • 53:39just is displaying information
  • 53:41that's already in the profile.
  • 53:44The questions that most people
  • 53:46have are around the information
  • 53:48that needs to go into A and PCD,
  • 53:50which is more of a a COPD schedule.
  • 53:54With Elvis,
  • 53:54you just wanted to quickly take them
  • 53:56through this just to give an overview.
  • 53:59Yeah, so if I pretend I'm starting
  • 54:01from scratch, I'm creating a new CV,
  • 54:02it's actually going to tell
  • 54:03me if I have a previous one.
  • 54:05Let's say I'm making an
  • 54:06appointment and promotion CV.
  • 54:07I'll select that format.
  • 54:09So just to be clear, those those
  • 54:11are just three different CV types.
  • 54:13And one is specific to appointments
  • 54:16and promotions, the other is.
  • 54:20Just a regular CV.
  • 54:21And the other one is you're
  • 54:24making a CV that will be public.
  • 54:26So you can create three different
  • 54:28versions of these CV's based on data
  • 54:31that's in the profile system, right?
  • 54:32So it's two for these are
  • 54:34two different formats.
  • 54:34And then this last one is the same
  • 54:36as the Yale, the standard Yale CV,
  • 54:38but it'll also appear in your profile.
  • 54:43And if I go into this,
  • 54:45it's going to run me through the
  • 54:47step by step process that is quite
  • 54:49exhaustive because it covers every
  • 54:51section of the profile essentially
  • 54:52that we've covered already,
  • 54:54and asks me to indicate, for example,
  • 54:58which mailing address needs to display,
  • 55:00which phone number should be at
  • 55:02the very top of my CV.
  • 55:03And then as I get into it,
  • 55:05I enter some information.
  • 55:06So if I'm looking at appointments
  • 55:08and promotions it's going to,
  • 55:09I'm going to have to enter some
  • 55:11information specific to that.
  • 55:12Sorry it's lagging a little bit.
  • 55:13I'm not trying to scroll so
  • 55:15fast on everybody here.
  • 55:18So I'd enter that appointments and
  • 55:22promotion specific information.
  • 55:23Then once I complete that and again
  • 55:26that'll only be relevant for that and PCV.
  • 55:29But once I get past that,
  • 55:30now I'm in this step by step process of
  • 55:33reviewing all the information in my profile,
  • 55:36showing or hiding information if I do
  • 55:38or don't want it to display on my CV.
  • 55:41I might see incomplete data
  • 55:43that was entered at some,
  • 55:44like maybe years ago when we had fewer
  • 55:47required fields and now I'm missing some.
  • 55:49Critical information,
  • 55:50then I'm gonna need to generate the CV.
  • 55:52We were, we'll call that all out to
  • 55:55you as you're running through this
  • 55:57process that you might have to make some
  • 56:00adjustments and complete some missing fields,
  • 56:02but that's the general gist of it.
  • 56:03It's really just reviewing all of
  • 56:05this data that we've entered in
  • 56:07these other tabs of the profile to
  • 56:09to fill in gaps where necessary,
  • 56:11choose what displays and what doesn't,
  • 56:13and generate my CV.
  • 56:15At the very end,
  • 56:16I'm just going to skip through.
  • 56:18I will be able to preview the CV.
  • 56:21Which? We'll probably take a minute.
  • 56:24Yeah.
  • 56:25Unfortunately on the OK well I got 500 error,
  • 56:28so that's not great.
  • 56:29Hopefully that's only in my
  • 56:31development environment.
  • 56:35A couple of important notes about CV builder.
  • 56:40The. You don't want to delete data out of it.
  • 56:44If the data is accurate, don't delete it.
  • 56:47You can just click the button that
  • 56:49says display on CV and you can
  • 56:51hide that information from display
  • 56:53on the CV if it's not relevant.
  • 56:55The other piece of functionality that we're
  • 56:57working on is a CV importer that Elvis
  • 57:00may have mentioned that will enable that.
  • 57:05OK, so so the CSV importer tool is the
  • 57:08opposite of the CV builder tool. It will.
  • 57:11Enable you or a faculty to upload a CV.
  • 57:16Into the into their profile and it
  • 57:19will extract the data from the CV.
  • 57:22And. Put that in their profile.
  • 57:24There will be a review process
  • 57:25built into that,
  • 57:26but it will enable someone who's
  • 57:28joining Yale for the first time,
  • 57:30or someone who has an incomplete profile,
  • 57:32to load their CV into the system
  • 57:34and have it extract all that data.
  • 57:36And then the idea is that then
  • 57:39they would use.
  • 57:41Metrics to maintain their information
  • 57:42and then use the CV builder to
  • 57:45generate new CD's for themselves.
  • 57:47So it becomes less of an administrative
  • 57:49function that lives in Word and one
  • 57:52that lives in Beatrix that they can.
  • 57:54Leverage. So that's that should be coming.
  • 57:59In the in the first half of next year.
  • 58:03Yeah, I do think we've updated
  • 58:05this UI so that it's not possible
  • 58:07to delete lots of information.
  • 58:09But still, it's good to know that
  • 58:10if you want to hide something
  • 58:12from the CV, just hide it.
  • 58:13You don't have to go and delete
  • 58:14the information entirely.
  • 58:18If you have other specific
  • 58:19questions about the CV builder,
