Academic & Administrative Affairs

Under the umbrella of Academic and Administrative Affairs are the staff, academic, and faculty affairs activities for the Department of Internal Medicine. These teams oversee the lifecycle process for all faculty, staff, postdocs, postgraduates, clinical fellows, student employees, visiting students, and contingent workers in the Department of Internal Medicine.

Staff and Academic Affairs

Staff and academic affairs coordinators are assigned to each section and provide support for various faculty and staff-related functions such as:

  • Faculty search process
  • Job postings
  • Hiring of postgraduates, postdocs, visiting faculty, lab associates, and visiting students
  • Visa processing
  • Staff affiliates/sponsored identity set-up
  • Staff job audit and classification
  • M&P and C&T performance and feedback processes
  • General HR/policy-related questions and employee relations/performance concerns

Human Resources

HR Coordinators are assigned per section and provides support for various HR and faculty-related functions such as:

  • Faculty search process
  • Job postings including staff (M&P and C&T), temporary and Yale Student Employment
  • Hiring of postgraduates, postdocs, visiting faculty, lab associates, and visiting students
  • Visa processing
  • Staff affiliates / Sponsored Identity set up
  • Staff job audit and classification
  • M&P Performance Management and C&T Performance Feedback processes
  • First point of contact for general HR/policy-related questions and employee relations/performance concerns

Faculty Affairs

The Faculty Affairs team serves as a resource for Department of Internal Medicine and School of Medicine faculty policies. Their responsibilities include:

  • Serve as the liaison between Department of Internal Medicine sections and the Yale School of Medicine Office of Academic and Professional Development
  • Manage academic appointments, reappointments, and promotions of department faculty members
  • Review all faculty searches
  • Oversee the faculty leave of absences, term extensions, track changes, and effort changes
  • Submit all applications for visiting faculty, secondary appointments, and emeritus status
  • Maintain departmental records and faculty templates
  • Provide data and reporting for Department of Internal Medicine faculty

Central Finance

The Central Finance team oversees the budgetary and financial management of the department. Their key activities include:

  • Manage financial support services for the department
  • Contribute to shaping the department's financial and operational priorities and the strategic planning process
  • Assess financial and/or operational challenges and opportunities
  • Facilitate and strengthen the interface between the department and various stakeholders
  • Implement and maintain strong internal controls
  • Ensure adherence to contractual obligations and agreements, policies, procedures, and external regulatory requirements
  • Take corrective action to protect Yale's assets, resources, and information

Office of the Chair

The Office of the Chair staff provides support to the department chair and vice chairs to uphold the mission of the Department of Internal Medicine. Their responsibilities include:

  • Represent chair's interests through contacts with faculty, staff, students, and alumni, as well as other Yale offices, academic institutions, and the Yale New Haven Health System
  • Provide administrative support for department leadership
  • Manage department Medical Grand Rounds and Research Grand Rounds

Clinical Affairs

Operations

Each section in the Department of Internal Medicine has a designated operations manager, who is the go-to person for sectional finances, budget development, operational issues, oversight of faculty financial manager team, internal controls, and new program development.

The pre-award team provides support to faculty and trainees in the following areas: determining eligibility for grants and contracts, applying for grants, including developing proposals, and overseeing budget development and document preparation.

Each section has a team of accountants and a financial assistant that assists with fund management (grant and non-grant), financial analysis and reporting, long-term projections, grant/contract compliance and risk management, and reimbursements, among other post-award activities.
