OnCore Support

OnCore, Yale's Clinical Trials Management System (CTMS), seamlessly integrates all of the components of research activity across the research enterprise. It provides an informatics infrastructure for managing research, including the full range of operational components (clinical, regulatory, financial and administrative) and electronic integration of patient demographics, study-specified visits and laboratory results. OnCore is designed to lessen the burden on investigators and research staff, so that conducting research is organized and efficient.

    What is OnCore?

    OnCore is a web-based Clinical Trial Management System (CTMS) consisting of a centralized suite of research modules to provide operational support and visibility into the research portfolio at Yale University.

    What studies are required to go into OnCore?
    1. Any research which includes a service performed within a Yale clinic/facility that is documented within Epic to generate a charge including (but not limited to) hospital billing/professional changes, lab services, and radiological exams.
    2. Use of YCCI Research Unit
    3. US Bank payment system (subject stipends)
    Are there any other functions of OnCore that will be available to use?

    In addition to OnCore Subject Management, eReg, and real-time electronic payments to research participants, the following OnCore functions are also available to study teams:

    How do I get more information about OnCore?
  • OnCore Fees

    Is there a cost associated with using OnCore?
    1. Yes, there are standard fees for the use of OnCore, to be incorporated into study budgets. These include a CTMS annual access fee, and Calendar and Financial Build/Amendment fees where applicable. The exact CTMS fees can be found here.
    2. The CTMS fees represent a fee-for-service provided by YCCI for use of the CTMS system. These fees are non-negotiable.
    Will studies that are already active require fees for the use of OnCore?
    No. Studies that were underway prior to 11/01/23 will not be assessed the fees.
  • Training and Access

    How do I get access to OnCore?
    • You must have a valid Yale net ID or YNHHS log-in ID
    • Complete all mandatory role-based training as assigned by OnCore Support
    • Instructor-led training available to access specialized areas
    • Obtain HIPAA training or provide currently approved certificate
    • Complete the OnCore Request Form and attach documentation of your Workday training and HIPAA certification
    • Please note: A one-time authentication step via email is required. This is a required step that must be performed within 24-hours of receipt of the email.
    How do I log in to OnCore?

    You can access OnCore and then enter your NetID & password. Your DUO information will need to be satisfied and then you will be able to log into the system.
