Donations to Other Organizations
Based on a recent review of expense reports, it was discovered that departments have authorized donations to external organizations on behalf of the university. Per Policy 3303 Gifts from University Funds, any instance where a contribution is being made to another organization requires prior approval by the university Controller’s Office in consultation with the Provost’s Office, the Office of General Counsel, and others as appropriate. Please contact ysmcontroller@yale.edu , and the YSM Controller’s Office will obtain approval from the university Controller’s Office on your behalf.
T&E Approval – Chairs and Lead Administrators
The T&E Approval: Chairs and Lead Administrators Procedure is currently under review. While the current procedure is still in effect and being monitored by the YSM Controller’s Office, changes are forthcoming. Please take time to familiarize yourself with the current procedure. Updates will be communicated in the future.
Bridge Funding and Recruitment Funding
In support of the compilation of the annual Operations Management Survey (OMS) to the Association of American Medical Colleges (AAMC), please ensure that all bridge funding is recorded to either YD000224 Unit Funded – Bridge Funding or YD000233 Dean Funded – Bridge Funding, depending on the funding source. Transfers from the Science Development Fund are also included and should be reported under the appropriate YD (YD000249 through YD000255, YD000301, or YD000303).
Additionally, please ensure that all recruitment funding is recorded to YD000226 - Unit Funded – Recruitment or YD000227 – Unit Funded – Supplement, depending on the funding source. Transfers from the Science Development Fund are also included and should be reported under the appropriate YD (YD000256 through YD000263, YD000265 through YD000272, or YD000302).
These items are required to be reported on the aforementioned survey, and proper Yale Designated usage will ensure more accurate reporting and require less outreach to departments.
