  • 00:04Alright, well I think most of the
  • 00:06people that are going to join our here.
  • 00:09Thank you all for joining.
  • 00:12Eric Grenier is our head of Endpoint
  • 00:15Eric Grenier who helps set up the my
  • 00:17apps at Yale application and he's going
  • 00:20to sort of walk us through the app and
  • 00:23how to install it and how to use it,
  • 00:26and hopefully this will be helpful
  • 00:29for everybody. Take it away Eric.
  • 00:32Good morning everybody. Thanks Dan.
  • 00:33So what we've done is we've basically
  • 00:36built a new my apps at Yale platform.
  • 00:38For those of you who have the
  • 00:42Platform you will notice quite a few
  • 00:45changes and a lot of our changes have
  • 00:48focused around in user experience and
  • 00:51making it easier for people to access the
  • 00:54environment and making the environment
  • 00:56more recognizable than in the past.
  • 00:59So I have two my engineers on
  • 01:01this call Steve Watkins and Lou
  • 01:04Fabiano and Steve is going to.
  • 01:06I'm going to give him allow him to
  • 01:10share his screen and he is going to.
  • 01:14Walk us through basically
  • 01:15how students access it.
  • 01:16One of the nice things about this is
  • 01:19if you remember from the old system.
  • 01:22You would have to use VPN if you were off
  • 01:25campus in order to access the system.
  • 01:28We've removed the VPN requirement
  • 01:29and it's no,
  • 01:30so it works the same way that dual
  • 01:33works with duo everywhere where it
  • 01:3590 days and then you don't have to
  • 01:38worry about putting in your duo
  • 01:40credentials every single time.
  • 01:41So the experience should be better.
  • 01:43We've also loaded up with a ton of
  • 01:46software point and we're actually
  • 01:48still loading it up with software,
  • 01:50so if there's ever a need for a
  • 01:52software title right now we're
  • 01:54completely focused on making.
  • 01:56Students have what they need,
  • 01:57so please let us know if there's
  • 02:00something that's missing and we
  • 02:02will work as hard as we can to get
  • 02:04it up there and in timely manner.
  • 02:06So with that said,
  • 02:07I'll kick it over to Steve and
  • 02:09even feel free to share your screen
  • 02:11and get us rolling.
  • 02:23Can everybody see the screen OK?
  • 02:28Yes.
  • 02:30So I apologize, my neighbors
  • 02:32decided to start mowing the lawn
  • 02:35right when this began.
  • 02:37Is a couple of ways to
  • 02:39access the environment.
  • 02:40There's a remote desktop client.
  • 02:42It can be downloaded and installed,
  • 02:44and there's also a web web client,
  • 02:47so any browser that supports HTML5,
  • 02:49basically Chrome,
  • 02:50edge fire Fox can access the environment.
  • 02:53We have a page in the software library
  • 02:56for East of grabbing the full client.
  • 02:59It is our recommended method to
  • 03:01use the full remote desktop client
  • 03:03because it supports multiple monitors.
  • 03:05We find the response.
  • 03:06Time to be a lot better and then if
  • 03:09you're a big user of windows hotkeys
  • 03:12they work a lot nicer in the full client.
  • 03:14It's it's like a full desktop
  • 03:16experience where when you're in
  • 03:18the browser it's basically the
  • 03:19functionality of the web browser
  • 03:21and will go over that a little bit.
  • 03:23So I've installed the remote
  • 03:24desktop client on my machine.
  • 03:26When you launch it,
  • 03:27you get you get an option to subscribe
  • 03:29here and we have details instructions.
  • 03:31I'm not sure if Dan is sent you all yet,
  • 03:34but we can provide the link it takes
  • 03:36you step by step through the setup process.
  • 03:39Bear with me here,
  • 03:40I'm just going to drag my windows around.
  • 03:49In the setup instructions for PC.
  • 03:53Go in the yard with Thomas.
  • 03:56Thank you.
  • 04:00So you put the subscription URL in.
  • 04:02You'll be asked to log in and it's
  • 04:04your Yale email address and password.
  • 04:06The first time you log in,
  • 04:07you're going to get prompted for duo.
  • 04:09I use this daily so it kind
  • 04:12of already knows it's me.
  • 04:13It takes a couple of seconds to see
  • 04:16what resources you have access to,
  • 04:17and this is a one time setup.
  • 04:19After you after you've logged
  • 04:21in connected to the environment
  • 04:22you just launched the app,
  • 04:23the application and it'll
  • 04:24show you what you have.
  • 04:26So when you when you folks login
  • 04:27you won't see all these things.
  • 04:29We have a bunch of different
  • 04:31environments in a test environment
  • 04:32setup with the students will actually
  • 04:34see is just this Yale desktop.
  • 04:35That's right here.
  • 04:37To access it you just double click on it.
  • 04:40It'll come,
  • 04:41it'll connect to the desktop again.
  • 04:43You log in with your email
  • 04:45address and password.
  • 04:53The first time you when you log in,
  • 04:55you get the disclaimer that we have
  • 04:57in all the public cluster machines
  • 04:58about not saving your data locali
  • 05:00to the machine and will go over
  • 05:02that in detail in a little bit.
  • 05:14OK, so you'll see it's loaded
  • 05:15a full Windows 10 desktop.
  • 05:17It's what it's called.
  • 05:18What it's called is Windows 10.
  • 05:20Multi session means that multiple
  • 05:21people can connect to the same
  • 05:23machine at this simultaneously,
  • 05:24but I think most folks are familiar
  • 05:26with Windows 10, so it's a.
  • 05:28It's a look that they've seen before.
  • 05:30Of note, I want to show you real quick.
  • 05:34How could probably flashed away too fast,
  • 05:36but when we when we talk about one drive,
  • 05:39one drive is our preferred cloud
  • 05:41solution for the environment.
  • 05:43You can certainly use Google Drive Box.
  • 05:45Whatever your favorite cloud provider is.
  • 05:47The nice thing about one drive is that.
  • 05:51It's there's a native sync
  • 05:52app app on the machine,
  • 05:53and if you can see closely,
  • 05:55I don't know how small it looks remotely,
  • 05:57but if you see the icons they have
  • 06:00a little cloud icon in the bottom
  • 06:02left of 'em and that means the
  • 06:04files are syncing to OneDrive.
  • 06:06There's a little application here in
  • 06:08the bottom that looks like a cloud
  • 06:09in the bottom right near the Clock.
  • 06:11If you hover over it,
  • 06:12it says OneDrive is up to date.
  • 06:14What happens if one drives not connected?
  • 06:16You would actually see like a
  • 06:17little grey XI was hoping to show
  • 06:19you when I logged into the machine.
  • 06:21Usually it takes like 30 seconds
  • 06:22for one drive to connect.
  • 06:24If you're not connected properly
  • 06:25to one drive,
  • 06:26you'll have a little great X in the.
  • 06:28Under icons on your machine,
  • 06:30so you'll know it's not
  • 06:31connected and syncing properly.
  • 06:33If it doesn't connect properly,
  • 06:34you just click on the icon here
  • 06:36and instead of a sync status,
  • 06:38you would actually have a
  • 06:39sign in button here.
  • 06:43What one drive? What?
  • 06:44We've configured OneDrive to do is to sync.
  • 06:47It syncs your desktop,
  • 06:49your documents in your pictures.
  • 06:52To the actual cloud.
  • 06:53So if you go to I'm not sure if
  • 06:56anyone here is used one drive before,
  • 06:58but if you go there's a one drive folder.
  • 07:01If you go to one drive here
  • 07:03you can see there's a desktop,
  • 07:05documents and pictures folder,
  • 07:06among other things that I've saved.
  • 07:08But if you actually put files
  • 07:10and folders in OneDrive directly,
  • 07:12it will appear.
  • 07:13It will appear on your desktop,
  • 07:15so if I make a new folder and call it test.
  • 07:19You'll see it.
  • 07:19It syncs automatically to my desktop here,
  • 07:21so you can use the one drive on
  • 07:23your own personal machines as well.
  • 07:25I have this sync app on all my machines
  • 07:28so my desktop looks identical everywhere.
  • 07:30There's also a web client.
  • 07:33For one drive,
  • 07:34so if you launch,
  • 07:35let's say edge.
  • 07:44If you sign into one drive and this is
  • 07:46if you signed into one drive anywhere,
  • 07:48any machine, even outside of the environment.
  • 07:51Just bear with me a second while I sign in.
  • 08:01You'll see I have the same
  • 08:03setup of files from one drive,
  • 08:04so if you're on your own personal
  • 08:06machine outside of the environment
  • 08:07you're working out of file,
  • 08:09you can save it in the desktop or documents
  • 08:11and pictures folder and you'll see it when
  • 08:13you log into the my apps environment.
  • 08:15So say I was working on a random
  • 08:17machine and I wanted to finish up on
  • 08:19it in the in the my apps environment.
  • 08:21If you copy the file, I'm just going to
  • 08:24make a folder 'cause it's easier to see.
  • 08:27If you create a folder here,
  • 08:28the next time you log into my apps,
  • 08:30you'll actually see it on your desktop.
  • 08:32See how the folder was created here,
  • 08:34so it's A kind of nice way to have
  • 08:37access to your files from everywhere.
  • 08:39I think I forgot to mention the
  • 08:41first time you connect to one drive
  • 08:43it's going to prompt you for duo
  • 08:45in your password and all that,
  • 08:47but it does save for 90 days.
  • 08:49Like Eric mentioned before,
  • 08:50so OneDrive is our recommended method.
  • 08:52Just because the app is native to the
  • 08:55environment and it's nice to have the
  • 08:57syncing issue if you're a box or Google
  • 08:59drive or any other cloud provider user,
  • 09:01you can certainly access your files.
  • 09:05Via web and open and use
  • 09:06them within the environment.
  • 09:08That way the caveat to that obviously
  • 09:10is you know with one drive you can save
  • 09:12your stuff on the desktop 'cause it's
  • 09:14syncing to the cloud if you start save.
  • 09:16If you're not using one drive and you're
  • 09:18just saving your stuff on the desktop,
  • 09:21it's not syncing anywhere,
  • 09:22so it's only on the VM and and we
  • 09:24want we want to have folks avoid that.
  • 09:26So we're trying to really push folks
  • 09:28towards one drive as the solution,
  • 09:30so that way they don't have to worry about,
  • 09:33oh, where's my? Where's my data?
  • 09:35In terms of the actual VM,
  • 09:37we've tried to mirror what's on the
  • 09:39machines in the public clusters,
  • 09:41so if you click on the start menu you
  • 09:43get the full list of applications that
  • 09:46are available in the public clusters.
  • 09:48There's, you know, I know, I know.
  • 09:52But health is a big SAS user,
  • 09:54so sass is on the machine.
  • 09:56There's SPSS.
  • 09:56I'm not going to pretend to know
  • 09:59how to use these soft.
  • 10:00This is this software,
  • 10:01but it's all here for your consumption
  • 10:04with your files integrated with OneDrive,
  • 10:06you can open and close them.
  • 10:08I want to show you a little nuanced too.
  • 10:13To the one drive app as well.
  • 10:16There's sorry, the first time the
  • 10:17very first time you launch SPSS,
  • 10:19it takes a couple seconds to load.
  • 10:23So let me let me let that finish opening,
  • 10:25and then I'll actually show
  • 10:27you show you some nuances to
  • 10:28the actual files in one drive.
  • 10:33Get rid of those disclaimers.
  • 10:37So you'll see you'll see some
  • 10:39of these files have check marks
  • 10:40in some of these files don't.
  • 10:42If the file doesn't have a check mark,
  • 10:44it means it's actually resided in one drive.
  • 10:46So when you go to open the file,
  • 10:49it's gotta basically copy it
  • 10:50locali and then open the file.
  • 10:52So you'll make you may notice if it doesn't
  • 10:54have a if it doesn't have a checkbox,
  • 10:56it'll take a second to download
  • 10:58and then it opens up.
  • 10:59So if you have larger files that
  • 11:01might take a second or two to open
  • 11:04'cause it's gotta actually grab
  • 11:05the file from one from the cloud.
  • 11:07And you'll notice now that I've opened it.
  • 11:09It's got the check box here,
  • 11:10so it's already downloaded in cash locally,
  • 11:12so the second time it would
  • 11:13open a little faster.
  • 11:14I mean, this is probably a bad example,
  • 11:16'cause it's a small world word file,
  • 11:18but you know it was a very large file.
  • 11:20You might see a couple of seconds
  • 11:21where it's just got to retrieve
  • 11:23the files off of OneDrive.
  • 11:26That's, let's see have a little
  • 11:29checklist of things I want to cover,
  • 11:31so bear with me here.
  • 11:33Another, yeah, I think I said that
  • 11:36the thick client allows access to.
  • 11:39Multiple monitors,
  • 11:40there's a way to customize settings.
  • 11:41It probably should have
  • 11:42showed this at the beginning,
  • 11:44so when you see Yale desktop,
  • 11:45if you actually right click
  • 11:47it and go to settings.
  • 11:48If you see up in the top right,
  • 11:50there's a use default settings option here.
  • 11:52You can tell it to use multiple monitors
  • 11:53or single monitor single display.
  • 11:55I use multiple monitors for the environment,
  • 11:57but I don't like it to take over
  • 11:58both of my monitors and by default
  • 12:00and wants to use every monitor
  • 12:02you have attached to the system,
  • 12:04so I usually come in here and change
  • 12:05it to say Oh just use a single
  • 12:07display 'cause I'll have the virtual
  • 12:09environment setup on one screen and
  • 12:11then my regular computer on the other.
  • 12:13So that's where you come
  • 12:14to change that setting.
  • 12:19When you want to log off the environment.
  • 12:22You can just click here and say sign
  • 12:25out if you actually just XX out of it.
  • 12:28It's basically almost like
  • 12:29shutting your laptop lid.
  • 12:30The programs that you had
  • 12:32open will stay running.
  • 12:34We do have a policy set for two hours,
  • 12:36so if you're idle or disconnected for
  • 12:38two hours it will sign you off your
  • 12:40session and that's the free up resources,
  • 12:42especially if you're in a browser.
  • 12:44If folks access the environment
  • 12:45from a browser and they just
  • 12:47close fire Fox and walk away,
  • 12:48it doesn't actually log you off the computer,
  • 12:50it's it's just going to
  • 12:52keep it in that idle state,
  • 12:53so we have to have some sort
  • 12:55of mechanism to say hey,
  • 12:56no ones really using this.
  • 12:58Let's sign him off real quickly.
  • 12:59I'll show you the Web app as well.
  • 13:01We've made a custom URL to
  • 13:03make it easy to remember it's.
  • 13:05The same as the old environment,
  • 13:07it's just my apps that yale.edu and it'll
  • 13:09redirect you to the Microsoft Web client.
  • 13:11But you can tell the Microsoft URLs not.
  • 13:14Not so user friendly to remember.
  • 13:24Sorry I'm like.
  • 13:25On Wi-Fi in the corner of my house,
  • 13:28hiding from the family South,
  • 13:30the surface signals not as great.
  • 13:31I'm already logged into the browser
  • 13:33'cause I logged into one drive,
  • 13:34but normally you would get
  • 13:36the normal login window.
  • 13:37Your email and password.
  • 13:38You can see you can see
  • 13:39all the resources here.
  • 13:41So if I wanted to launch yell
  • 13:42desktop I would just click it here.
  • 13:44I'm not going to actually do
  • 13:46it for the purposes of the demo
  • 13:48'cause I'm already logged into the
  • 13:49environment that you can run the full
  • 13:51functionality through fire Fox, Chrome.
  • 13:53You know any any of your major browsers?
  • 13:55Safari fail.
  • 13:56They all seem to work OK.
  • 13:58If you have any issues with the environment,
  • 14:01we recommend like usual.
  • 14:02Contacting our help desk or helpdesk and
  • 14:05solve a lot of the issues on the fly.
  • 14:07If they can't,
  • 14:08they can always escalate it to Dan or
  • 14:10someone in our group is appropriate.
  • 14:12I would say 'cause I think there's
  • 14:14there's some you know professors
  • 14:16and TAS on the phone that if you
  • 14:18have a class that you know is
  • 14:20going to utilize the service and
  • 14:22there's going to be heavy usage,
  • 14:23we ask that you get us the
  • 14:25schedules just so we can have
  • 14:28the adequate resources available.
  • 14:29We have some logic built-in where
  • 14:31every couple of minutes it checks
  • 14:32the number of sessions an if it
  • 14:34hits his threshold it turns more
  • 14:36and more computers on,
  • 14:37but if you know you have a class
  • 14:38at say 9:00 AM where there's
  • 14:40going to be 80 people using SAS,
  • 14:42we can kind of get ahead of that and say,
  • 14:45Oh, let's have enough capacity started.
  • 14:46So when the class gets in,
  • 14:48there's enough machines up and running
  • 14:49so you don't have to wait for it to
  • 14:52check and turn these machines on.
  • 14:53'cause it does take a minute or
  • 14:55two to turn on new computers.
  • 14:57So if we can kind of get ahead of that.
  • 14:59That would be a big help to us and to you.
  • 15:02Teaching the class you know.
  • 15:04You know we don't.
  • 15:05We don't want 100 people logging on at
  • 15:07the same second trying to access his
  • 15:09resources while it tries to spin up enough.
  • 15:11You know enough machines
  • 15:12to handle the capacity,
  • 15:13so we can definitely get ahead
  • 15:15of that if you let us know.
  • 15:17Hey, I have sass classes Tuesday,
  • 15:18Thursday at this time, or you know,
  • 15:20we expect the high volume here.
  • 15:22We can make sure everything is
  • 15:24weighted so there's no time lag and.
  • 15:27You know and get in getting everything up.
  • 15:29I think that's basically the
  • 15:30gist of my speech here.
  • 15:32It's it's, you know,
  • 15:33it's a Windows 10 machine.
  • 15:34I think folks are pretty
  • 15:36pretty familiar with it.
  • 15:37I know I talked awhile about one
  • 15:38drive are really trying to push
  • 15:40it because we think the user
  • 15:42experience is just a lot better.
  • 15:43Obviously,
  • 15:43date is what's important at
  • 15:45the end of the
  • 15:46day, so we want to have this stuff sinking.
  • 15:48You know, I can't stress enough
  • 15:50that if you're using one drive,
  • 15:51make sure it looks like a cloud.
  • 15:53Hear it, you'll see a big Gray
  • 15:55X if it's not connected properly
  • 15:57'cause you want to have your.
  • 15:59You want to have your
  • 16:00files syncing to the cloud.
  • 16:02I think that's about all I
  • 16:03have for the main presentation.
  • 16:05I'm not sure if anyone has any
  • 16:08questions that we can address.
  • 16:10Or issues like Eric said.
  • 16:11If there's enhancements or if
  • 16:13you need additional software,
  • 16:14we ask the provide the software
  • 16:15to us and the configuration.
  • 16:17If there's specific licensing we
  • 16:18would need that detail and we can
  • 16:20set it up in the test environment
  • 16:22and have you kind of run through
  • 16:24and test and make sure it works to
  • 16:26your liking before we push it out
  • 16:28to all the machines in production.
  • 16:32So that that's that's
  • 16:33basically in a nutshell.
  • 16:40Does anybody have any questions
  • 16:42that we could answer? Any concerns?
  • 16:47Hi this is. Hi this is my you are.
  • 16:53Uh, one of the faculty member
  • 16:55members in chronic disease at
  • 16:56the at the school public health,
  • 16:58and I was wondering about
  • 17:01sass in particular and.
  • 17:03It doesn't run on Macs,
  • 17:05and so this is a solution for that.
  • 17:08So would people be able to then,
  • 17:10if you're using a Mac that
  • 17:12you'd be able to run SAS either.
  • 17:15Accessing this my apps through the Web,
  • 17:17or even if you have it locali
  • 17:20downloaded on your Mac without
  • 17:21having to do any sort of partitioning
  • 17:23or any sort of boot camp or any
  • 17:25of those sort of things that
  • 17:27we're creating lots of problems
  • 17:28when they were trying to use sass
  • 17:31through Citrix, correct?
  • 17:31So you won't have to create any
  • 17:33partition or anything else.
  • 17:35You will be able to just either download
  • 17:37the client or use the web client.
  • 17:39I highly recommend the full client,
  • 17:41so there's a Mac client available
  • 17:43for it and they will be able
  • 17:45to launch the full desktop and
  • 17:46utilized sat through that.
  • 17:48Oh great. OK, so that and then and then
  • 17:51you mentioned you know if we had say,
  • 17:53wanted to have 20 users,
  • 17:5440 users for a class or something
  • 17:56simultaneously then we could
  • 17:58they would be able to do that.
  • 17:59Somebody on PC SM would be on Max as
  • 18:01long as we arranged with you ahead
  • 18:03of time to let you know that you
  • 18:06know these are one hour times or
  • 18:08wow. OK completely device agnostic.
  • 18:09I mean the other day I have an Android.
  • 18:11I have an Android phone and I have
  • 18:13the client installed on there and
  • 18:15I was able to launch a desktop on
  • 18:17my phone hooked up to a monitor,
  • 18:19mouse and keyboard.
  • 18:20And it worked great.
  • 18:22So it did we the only device that
  • 18:24there's no native client for right
  • 18:26now that we know of is Linux,
  • 18:28but they can use a web browser
  • 18:30and access it that way.
  • 18:34Hey my air it's Elizabeth here at 11.

  • 18:38session with the TAS on using sass.
  • 18:40If you want to join us I

  • 18:43Yeah please if you wouldn't mind that

  • 18:47How is how is rules experience man?
  • 18:49I know he was a big user
  • 18:51on the previous that's
  • 18:53going to join us at 11. I've seen
  • 18:55him on line using it, so we're,
  • 18:57you know, we're interested in feedback,
  • 18:59you know? Obviously this is.
  • 19:01A face lip for the product.
  • 19:03I think it's nicer that folks get
  • 19:04a full desktop, so any feedback
  • 19:06you have is greatly appreciated.
  • 19:07There's only you know so much
  • 19:08testing we can do on our end,
  • 19:10and we're by no means SAS
  • 19:12experts on one of those.
  • 19:13Oh, it opens.
  • 19:14It looks OK, but you know,
  • 19:15at the end of the day of the I'm not one
  • 19:18of the power users like like you folks are,
  • 19:20so any feedback,
  • 19:21good or bad or suggestions for how to improve
  • 19:23the service would be greatly appreciated.
  • 19:24You know at the end of the
  • 19:26day we're trying to make this.
  • 19:28Make life a little easier for
  • 19:30the students and professors,
  • 19:32obviously,
  • 19:32especially in this current environment,
  • 19:34so you know anything we can do to help.
  • 19:37We're happy too.
  • 19:38And
  • 19:39I don't know for al is on the line right now,
  • 19:42but he mentioned something about
  • 19:43you couldn't use files from box or
  • 19:45other sources to pull into SAS.
  • 19:47Have you heard that?
  • 19:49But I have
  • 19:50not heard that but.
  • 19:52So you can you can pull him through.
  • 19:54I don't know that you can directly linked
  • 19:58to him like you can with one drive.
  • 20:01So I I think it sort of goes back to the
  • 20:04messaging of the preferred cloud storage,
  • 20:07and we've gotten feedback in the old
  • 20:09environment that we were allowing too
  • 20:12many cloud storage providers and they
  • 20:14asked us to direct people to one and one
  • 20:17drive is just native to windows anyways,
  • 20:19so sort of if we have them using one
  • 20:22drive and downloading the stuff,
  • 20:24pulling it from box and putting
  • 20:26it on their desktop.
  • 20:28One drive then sinks it and it
  • 20:30can be utilized that way or.
  • 20:32Uploading it into one drive
  • 20:34from their personal device,
  • 20:36then it's available.
  • 20:37There's alot of things behind it and without
  • 20:40getting too far into the weeds with it,
  • 20:43speed is speed and ease
  • 20:45of use is a big issue.
  • 20:48So if you're trying to upload a 3
  • 20:51gig data file for CES analyzation.
  • 20:54It's going to take awhile if it's
  • 20:56coming from your personal device,
  • 20:58but if it's up and one drive already,
  • 21:01the speeds at which this lives it
  • 21:03this total environment lives in Azure,
  • 21:05the speeds at which those go
  • 21:07is usually 25 gigs per second,
  • 21:09so it moves faster.
  • 21:10An were able to analyze more
  • 21:12data more quickly.
  • 21:13Is there any connection
  • 21:15between the files that we
  • 21:16locate in canvas and one drive?
  • 21:18Or do we have to take them front
  • 21:21canvas and put them into one
  • 21:23drive? That's a pretty good question. I
  • 21:26only get pretty good.

  • 21:37behind or one of the big initiatives
  • 21:40behind OneDrive was that it
  • 21:42integrated with canvas and that's
  • 21:44why they were making the push for it.
  • 21:47Whereas some of the other
  • 21:49ones didn't integrate as well.
  • 21:50So I will look into.

  • 21:56will follow up on one drive is
  • 21:58all the students and everyones
  • 22:00licensed for one drive so there
  • 22:02shouldn't be any issues on that.
  • 22:03And I believe the default font space
  • 22:06limit is a TB but you can request more.
  • 22:08I don't necessarily expect too many
  • 22:10people running over the TB cap,
  • 22:12but if that does happen I think there's
  • 22:14a requests or request to help test.
  • 22:16There may be a form.
  • 22:18It's kind of a separate service stars,
  • 22:20but obviously we consume it.
  • 22:22So space should not be an issue.
  • 22:27And who specifically what should
  • 22:29we email with the courses that are
  • 22:31going to be heavy time use? Why
  • 22:33don't you all send them to me
  • 22:35and I'll coordinate 'em all
  • 22:36and then get him to Eric say.
  • 22:39By next Wednesday or Thursday.
  • 22:44And then just touching back on.
  • 22:48Box or Google Drive?
  • 22:49I just want to confirm if they use
  • 22:52those and they they can save the
  • 22:55files to their desktop too then import
  • 22:58them into SAS or something and then
  • 23:01save them back to their desktop.
  • 23:03But if they then don't save
  • 23:05them back up to box or Google
  • 23:08Drive, they're gone when
  • 23:10they disconnect, correct and
  • 23:11less there logged into OneDrive,
  • 23:13right DEA is if they're logged into
  • 23:16one drive then they won't be gold.
  • 23:19They will be. They will be synced
  • 23:21up on one drive and truth. Truth
  • 23:23be told, it
  • 23:24will stay in their profile,
  • 23:25but we don't want folks storing
  • 23:27stuff on their desktop and WED.
  • 23:29So if you didn't connect to one drive
  • 23:31and you save your file on the desktop,
  • 23:33it would be there in the next time.
  • 23:36But we don't want folks saving files
  • 23:38in this environment on the VMS,
  • 23:39so we're telling him,
  • 23:40you know, it's gotta go in the
  • 23:42cloud if you do one drive.
  • 23:44It doesn't automatically for you
  • 23:45if you use box or Google drive,
  • 23:48it's more of a move the files back and forth.
  • 23:51Not enough for my personal experience
  • 23:53is just it's too much moving around and
  • 23:55stuff to worry about when there is a
  • 23:58there is a solution that kind of works.
  • 23:59I know it's a change for a lot of
  • 24:02folks who weren't using one drive.
  • 24:04I mean me personally,
  • 24:05once I started once we started
  • 24:06setting up this new environment.
  • 24:08I installed that OneDrive app
  • 24:09on all my machines.
  • 24:10My desktop,
  • 24:11you know in WBB is the same as my
  • 24:13desktop on my personal laptop,
  • 24:15'cause everything just syncs.
  • 24:16So if I make a file I see it everywhere.
  • 24:19It's it's really nice.
  • 24:20I encourage everyone to.
  • 24:21Play around and take a look at it.
  • 24:23Even if you're even.
  • 24:24If you're not a consumer than
  • 24:25my apps environment,
  • 24:26it's really a nice tool.
  • 24:31That's my sales pitch from one drive.
  • 24:44If anybody else has any questions,
  • 24:45you can always forward him through Dan.
  • 24:47Any issues you can ring the help desk.
  • 24:50Then those were at his disposal
  • 24:52so he can get ahold of us.
  • 24:54And this is, like Eric said,
  • 24:55this is our priority.
  • 24:56You know, making sure things work
  • 24:58as well as well as we can for the
  • 25:00students with the upcoming semester so.
  • 25:05I encourage everybody to
  • 25:07load it up and look at all
  • 25:09the software that's available.
  • 25:11There's a ton of it in there,
  • 25:13and through this it's free as
  • 25:15opposed to purchasing it another way.
  • 25:21I have another question really
  • 25:24quickly I'm gonna be at EA this
  • 25:29fall and my. Where is that?
  • 25:33For example, some students for.
  • 25:37Final projects use data from
  • 25:39faculty that maybe not allowed
  • 25:41to be saved in the cloud.
  • 25:44Are there options for this or alternatives
  • 25:47work around so we currently map
  • 25:49storage at Yale home,
  • 25:51so if its storage at Yale share
  • 25:54then they will have access
  • 25:56to if they have access to it,
  • 25:59it will be mapped in just as
  • 26:02a regular map drive.
  • 26:03If there's data that needs
  • 26:06to be used outside.
  • 26:07I would encourage you to contact
  • 26:09us and we will try and set up an
  • 26:12environment for those types of use cases.

  • 26:16Yeah, but you do have the functionality
  • 26:18to map any file shares that you may have.
  • 26:21We automatically map storage,
  • 26:23but I know there's some other
  • 26:25file servers on campus that have
  • 26:27been around for a long time.
  • 26:29You can certainly map those drives as well.
  • 26:33One drive is HIPAA compliant though, right?
  • 26:36Yes.
  • 26:38So if it's just that type of data,
  • 26:40it is OK to use one drive.
  • 26:45And can I just ask another quick
  • 26:47question about the fast that so once
  • 26:49you're in the my apps environment,
  • 26:51so a student would either
  • 26:52access that through the Web,
  • 26:53or if they just download the client
  • 26:55and you know like just have it,
  • 26:57but once they enter that environment
  • 26:58then they'll see an icon for assassin,
  • 27:00then they can just double click it as if
  • 27:03they were even sitting in a computer lab,
  • 27:05but they don't have to do any special
  • 27:07setup to get sass on their computer.
  • 27:09Locali in any sort of way,
  • 27:11it's just it's going to be an icon there,
  • 27:13they can just click on it,
  • 27:15whether they are accessed my apps through.
  • 27:17A Mac or a PC, correct?
  • 27:19Yeah, the desktop is the Yale
  • 27:20Desktop is the Yale desktop,
  • 27:22so they'll launch the desktop and then it
  • 27:25acts as a full blown Windows 10 machine.
  • 27:28OK, great thank you to answer
  • 27:30the question that's in chat.
  • 27:31If students do not use one drive,
  • 27:34do you know how long are files
  • 27:36saved in temporary folders so?
  • 27:39Temporary and documents
  • 27:40before they get deleted.
  • 27:41So documents those kind of
  • 27:43folders it won't be deleted or
  • 27:45encouraging people not to save
  • 27:47their because profiles get bloated.
  • 27:49It affects login times and it costs more
  • 27:52for us to store that stuff on the back end.
  • 27:55Yeah, in the backup is not
  • 27:57on the fly right?
  • 27:59So we have a backup running
  • 28:01nightly too, so there's there's
  • 28:03obviously potential there.
  • 28:04So we want to get everybody
  • 28:06saving in the cloud.
  • 28:07That's like that's recommended
  • 28:09best practice, you know.
  • 28:11But if things get saved
  • 28:12in a temporary folder,
  • 28:14as soon as the session is logged off,
  • 28:16then it'll be going.
  • 28:18So it's sort of two different
  • 28:21questions there.
  • 28:22Documents known folders like documents,
  • 28:23desktop, those kind of things they
  • 28:26will be there temporary folders 'cause
  • 28:28there's a ton of temporary folders
  • 28:31at Windows likes to save slash open
  • 28:33things in when you end the session.
  • 28:36Those things are going,
  • 28:37it's it's almost the same.
  • 28:39Consider it at the same as
  • 28:42shutting down your computer.
  • 28:45And this is probably an obvious statement,
  • 28:47but it does require that you have Internet
  • 28:49access to be doing all this. Brian,
  • 28:52is there any issues with
  • 28:54overseas students who are going
  • 28:56to be so?
  • 28:57So there probably will be.
  • 28:59I'm not going to say that I'm not going
  • 29:01to say that it's going to be awful
  • 29:04during so we had students able to test
  • 29:07this when the pandemic first broke out.
  • 29:10An students were leaving campus.
  • 29:12We don't know exactly where one
  • 29:14of the students was located,
  • 29:16but they did indicate in their
  • 29:18feedback that they were an ocean away
  • 29:21and they experience some latency.
  • 29:23Right now we are only set up
  • 29:25in one data center region,
  • 29:28which is US 2 which is located
  • 29:30in Northern Virginia.
  • 29:32So that's not to say that
  • 29:34it won't work for them,
  • 29:36but it's highly likely that they
  • 29:39will experience some slowness.
  • 29:43'cause we probably have a
  • 29:45large number of students that are
  • 29:47going to be logging in from China.
  • 29:49Yeah, so were the China one probably
  • 29:51presents a bigger issue than just.
  • 29:56Speed, but. Maybe they should
  • 30:00be able. To connect with the
  • 30:02speed will be like for them.
  • 30:04It'll be intermittent.
  • 30:05I would assume some.
  • 30:06Some people may have an OK experience,
  • 30:09some other people may not
  • 30:11have a great experience so.
  • 30:13We're trying to do is gather data on
  • 30:16where people are accessing from so
  • 30:18that we can start putting resources
  • 30:20in areas that we need to put resources
  • 30:23and we need to make a whole use
  • 30:26case for the University to say Hey,
  • 30:28we need to be set up in other regions
  • 30:31besides just Northern Virginia that
  • 30:33we may need something in Europe.
  • 30:35We may need something Asian in
  • 30:37those type of places that students
  • 30:40who are remote can still do their
  • 30:42work as if they are here.
  • 30:46And any feedback you get
  • 30:48from those students, we would
  • 30:49appreciate you know as well.
  • 30:51Let us know that. Students
  • 30:53from particular areas
  • 30:54are struggling or there.
  • 30:55You know, even if they are OK,
  • 30:57that would be nice to hear
  • 30:58as well, you know.
  • 31:03In terms of data saving,
  • 31:04I know there's a lot of
  • 31:06talk about not using the OneDrive.
  • 31:08What what I like to kind of say
  • 31:09to folks is if you sat down
  • 31:11in a public cluster machine,
  • 31:13you're not going to leave your files
  • 31:14on the desktop there and walk away.
  • 31:16'cause then you have to find
  • 31:18that machine the next time,
  • 31:19just as a best practice, you know,
  • 31:21like store your stuff in the cloud where
  • 31:23you can get at it from anywhere. Um?
  • 31:31I think Steve's hammer home 2.
  • 31:33Two thoughts for today. Use one drive
  • 31:36in and any feedback is good feedback.

  • 32:05I think some of us may be involved
  • 32:08in various global health training
  • 32:10kinds of programs and other ways of
  • 32:13getting access to outside users.
  • 32:15So sort of have temporary access to.
  • 32:17SAS or through for another type of program
  • 32:20that we might be doing as part of a
  • 32:22global health training where they're not.
  • 32:24Typically haven't yet nail Yale.
  • 32:26Net ID's were not
  • 32:28currently set up for that at this point.
  • 32:31I don't know that this particular
  • 32:33environment will ever be able
  • 32:35to be set up that way because
  • 32:37it uses a lot of Yale usernames,
  • 32:40passwords, its tide to the
  • 32:42Active Directory and the Azure,
  • 32:44but it is something that we can
  • 32:46question on and see if there's a
  • 32:49way to get something like that.
  • 32:51I mean, there's a way to get what
  • 32:53they called sponsored identities.
  • 32:56And we can give sponsored identities
  • 32:58access to the environment because then
  • 33:00they have a yelled username and password
  • 33:02as far as outside of Yale affiliation,
  • 33:04it'll probably be a little bit tough
  • 33:07to get all parties that would need
  • 33:09to be involved to sign off on that.

  • 33:17training where somebody where we
  • 33:19were able to get that sponsored.
  • 33:21Test, then then it would be possible,
