Requirements

To be eligible for "Pass", all requirements must be completed on time.

Attendance

ALL SAP Clerkship sessions are mandatory; precede, rotation services, grand or service rounds, didactics, simulations and postcede.

Please refer to the YSM Clerkship Policies and Dean Illuzzi’s informational email to assist with understanding and managing Clerkship absence requests.

Absences KNOWN in advance

Submit a request for an absence using Absence Request Form at least 60 days in advance. This includes excused absences like religious observances, presenting a paper at a conference or unexcused absences known in advance. Please also email Surgery Clerkship Director (Felix Lui, MD) and coordinator (Danette Morrison), or Emergency Medicine Clerkship Director (Jessica Bod, MD) and coordinator (Jackie Santana) (and other faculty & staff i.e. Dr. Buck, Joy Grabow, Simulation) that you’ve submitted an absence request and for what dates.

Absences NOT known in advance

Excused absences: death or serious illness of a family member, personal illness, or need for essential health care. We expect students to email all necessary teams; SAP|Directors (EM, Surgery and SIM), rotation directors and chief or high ranking residents ahead of time or as soon as possible any time you are not able to participate or be in attendance at your clinical service rotation, didactics, sim, half day clinic, call or appointments with faculty. Late or no communication is a professionalism issue and concern.

Unexcused absences: should be submitted using the Absence Request Form email your SAP|Directors and coordinators, and in emergent circumstances, you may also reach out to the Director of Clerkships, Shefali Pathy, MD. In general, accommodations for unexcused absences submitted less than 60 days in advance will not be considered. Such requests will also be reviewed by the Deputy Dean for Education with the Associate Deans for Curriculum and Student Affairs.

Early communication is expected and professional. Please reach out early to let us (and your clinical team and rotation director) know if you’ll be absent or tardy.

Taking Call

As part of your (SAP) clerkship, you will be required to take call. If you are doing TEGS rotation, you will have a week (Sat-Wed) of nights during that rotation. If you do not have TEGS, you will be required to take two calls; one weekend day shift, and one night weekday shift. Please complete this reflective survey to register your attendance for a completed Call.

Mid-Clerkship Feedback

Forms are due mid-way through your SAP clerkship rotation. They are submitted at the time of feedback with Clerkship Director or Associate Clerkship Directors. You are excused from your rotation for 1 hour to complete these in person, or on zoom and then return to your rotation when complete. A minimum of one is required per clerkship. Please bring your laptop or ipad to record and submit the form during your meeting with the clerkship director or associate director and Login to Medtrics. On the home page "Request Evaluation" Section (lower right corner), Select the form "[Rotation] CL - Midclerkship Feedback", then select the Clerkship, and finally select the Clerkship Director or Associate Director.

To record additional preceptor feedback, (other than with the CD/ACD), continue to use the original platform (Folio).

Patient and Procedure Log / Medtrics

Combined Log: SAP and EM

Use procedure log spreadsheet as a guide to completing requirements as you rotate. We highly encourage students to keep this log available for easy reference. Enter all completed procedures and diagnosis requirements in Medtrics on a regular basis. Due by last day of clerkship rotation.

H & P or Consult Note*

Your note must be reviewed, edited and signed by a highest ranking EM or Surgery Resident or Attending. Their feedback should include at least 3 comments on the note. Submit your note to Danette Morrison for credit before the end of the block.

*Important: redact patient information (PHI) from your Note before emailing.

Observed Focused History and Focused Physical Exam by an Attending

This requirement must be completed during your assigned half-day clinic session with an attending. However, please complete as many of these observed H&Ps as offered with an attending during each surgery rotation. To ensure your requirement is recorded, please present the QR code on your card (and the link provided below) to the attending who observes you. This will allow them to register feedback and provide verification of the requirement.

Please Note: Your half-day clinic attending is not responsible for your History & Physical (H&P) consult note unless they specifically offer to do so.

SAP Exam – self assessment

ExamSoft instructions will be emailed and details are below in Exam Information. The exam is available last two weeks of clerkship and due by the last day/postcede.
