Printer problems and jams

  • Is printer connected?
  • Turn off and on again

Printer margins are off

  • Reset Printer Set-up: Go to Chooser > select Printer > Set-up > select Printer Description for that printer

Printer can't print PDF files

  • In Print dialogue box, go to Acrobat specifics
  • Turn off print method "PostScript"
  • Check "Print as Picture"
  • Print

Printer Service Request

  • Approval by a PI or supervisor must be received along with charging instructions and Unit ID of the printer

Keyboard or mouse not working

  • Unplug, and plug back in again
  • Check connection, clean, try a different mouse pad or swap cables. (ITS does not provide mouse pads or special cables)

MS Word: printing envelopes

  • Go to: Labels and Envelopes > Options > Direction > Change Print Direction

PowerPoint: printing in B&W

  • Go to: Print > in dialog box, pull down menu (general) > go to Microsoft PowerPoint > uncheck Print in Black and White

iMac screen out of shape

  • Zap PRAM: on Restart, hold down the Command, Option, P, and R keys all at once (you will hear a restart and a "bong"; do this 4 times)
  • This resets defaults, so check time and network preferences

Generic Icons (icons have lost their custom appearance), or general weirdness

  • Rebuild desktop: Hit restart – wait until it just starts the start-up routine, and hold down Command, Shift, and Option keys until message appears that you are rebuilding the desktop

METHOD 1.

Manually create a Custom Distribution List 

You can manually create a custom distribution list in your email client, i.e., Outlook or Apple Mail (OS X Mail). Manual lists are the best way to manage lists only you use, or groups up to about 12 people. 

Pro: You control and customize the Distribution List. 

Con: You cannot share or distribute the Distribution List. It is local only (i.e., only in your settings).

Outlook - how to define a Distribution List in Outlook

  • On the Navigation bar on the left side of the Outlook application, click People (icon).
  • Click New Contact Group.
  • On the Contact Group tab, in the Name box, type a name for the group.
  • Click the Add Button, and then type in desired names of people from your address book or contacts list. 
  • After you have all of the desired emails into the group, click the Save & Close button in the left hand corner.
  • Note: You have to create a contact before adding the contacts email to a New Group/Distribution list

Apple Mail (OS X Mail) - how to create an Address Book Group for List Mailing in Apple Mail

  • Open Contacts.
  • Select File | New Group from the menu.
  • Type the desired name of your new mailing list.
  • Press Enter.
  • Add Members to Your Apple Mail Group
  • You can add new members to your Apple Mail mailing list by drawing from existing contacts or by adding to a group specifically. 

To add people already in your address book to a group:

  • Open Mail Contacts.
  • Make sure the groups list is visible.
    • Select View | Show Groups from the menu if it is not.
  • Highlight All Contacts in the Group column.
  • Drag and drop the desired contacts to the group in the Group column.
    • If more than one email address is listed, Apple Mail will use the most recently used address when you send a message to the list.

To add a contact to an Apple (OS X) Address Book group:

  • Open Contacts.
  • Make sure the groups list is open.
  • Highlight the desired group.
  • Click the + sign underneath contact card.
  • Enter all desired contact details.
    • Make sure you think of adding at least one email address.
    • The contact will also show up under the All Contacts group automatically.

Send a Message to Your Address Book Group

  • Now that both the group and its members are set, you can start emailing multiple people stress-free.
