Beatrix Training Session - Overview

  • 00:33Thanks everyone for joining.
  • 00:35I'm Justin fansler.
  • 00:36I'm a senior director of.
  • 00:38Technology and communications and
  • 00:40strategy and the Office of Communications.
  • 00:43It's a mouthful.
  • 00:44So our team is responsible for
  • 00:46all of the back end and front end
  • 00:49systems that power the schools,
  • 00:51websites and a bunch of other
  • 00:55communications platforms at the school.
  • 00:59This session is to introduce you all
  • 01:01to Beatrix to answer your questions
  • 01:03and to give you a general lay of the
  • 01:06land for the new system, Beatrix.
  • 01:09Because the replacement system
  • 01:11for the school's profile system.
  • 01:14It's a custom built tool that our
  • 01:19team builds and manages so we have
  • 01:23lots of room to make improvements
  • 01:26and changes as you all highlight
  • 01:29things that would be helpful
  • 01:31in your day-to-day work.
  • 01:33The system was designed to be easy
  • 01:36to use and as a self-service tool.
  • 01:39Understanding that people are busy
  • 01:41and they work at all hours of the day,
  • 01:43so if a faculty member wants to log in it.
  • 01:46Three in the morning from Berlin to
  • 01:49update their publications on their profile.
  • 01:52They can do that.
  • 01:53If you need to post a story from your
  • 01:55phone while you're picking up your
  • 01:57kids from school, you can do that.
  • 02:00So if you run into issues that you.
  • 02:05Think make this not an easy to use
  • 02:08tool or you run into questions.
  • 02:10Please never hesitate to reach
  • 02:12out to us via
  • 02:16YS m.editor@yale.edu and the
  • 02:17team is very responsive and
  • 02:19we'll get back to you quickly.
  • 02:20You can also use the report a bug feature
  • 02:24button in the system itself to let us
  • 02:27know anything that you come up with.
  • 02:29So I'm going to stop talking now
  • 02:31because I could go on for a while
  • 02:33and Mark Albus is going to pick up
  • 02:35and take you through the system.
  • 02:37If you have questions that come up,
  • 02:39just use the chat feature and
  • 02:41we've got people that are going to
  • 02:43monitor that and can make sure that
  • 02:45Elvis answers those questions.
  • 02:46We're also going to be pasting links
  • 02:49into the chat at relevant times during
  • 02:52the during the discussion to let you
  • 02:54know about future training sessions or
  • 02:57specific web pages that could help you out.
  • 03:00OK, I'll just take it away.
  • 03:01All right. Thanks everybody,
  • 03:04for joining today.
  • 03:06I'm just going to dive right in since
  • 03:09Justin gave the introduction already,
  • 03:12but if you haven't logged in already,
  • 03:14the first thing you will see when
  • 03:16you log in in the new system.
  • 03:18Is something that that Beatrix that yelled
  • 03:21at you is something that looks like this.
  • 03:24This, this very first thing that
  • 03:26you're going to see is the dashboard.
  • 03:29We are this is still a work in progress.
  • 03:32We have some helpful links here currently,
  • 03:35but we're going to continue to
  • 03:37add to this as time goes on.
  • 03:39Most importantly,
  • 03:40what you're going to see
  • 03:42are two categories of items,
  • 03:44which are the drafts in progress,
  • 03:47which could be events that you haven't
  • 03:49that you started but haven't published yet,
  • 03:51news that you might be working on
  • 03:53that you haven't published just yet.
  • 03:55We're trying to make it easier to
  • 03:58access all of those kind of items quickly.
  • 04:03I think some of you might find there
  • 04:05were you had items in draft status
  • 04:06that you totally forgot about.
  • 04:08Now they're going to be surfaced right here,
  • 04:10so we should be easy access there.
  • 04:13On the other really important thing
  • 04:16is we are putting these categories of
  • 04:19items that need some kind of review.
  • 04:21You're only going to see this if
  • 04:24you have administrative access to
  • 04:26organization for approving news or
  • 04:28events to appear on the website.
  • 04:31So these will be quick links to go
  • 04:34straight to your list of news events
  • 04:37so you can start approving things,
  • 04:40which I will get to shortly. Um.
  • 04:45So. Sorry for all the barking,
  • 04:49it is in power line working on set my.
  • 04:54Alright, that's enough for
  • 04:55the dashboard for now.
  • 04:56I'm gonna go right into the meat of it
  • 04:59that most people are gonna end up using,
  • 05:01which are profiles.
  • 05:03Profiles we haven't changed a whole lot.
  • 05:07It's mostly the same data that
  • 05:09we were collecting previously.
  • 05:11It's just in this new,
  • 05:13hopefully easier to use layout.
  • 05:17Importantly, for faculty and other
  • 05:19people who might want somebody else
  • 05:22to help them edit their profile,
  • 05:25we have this feature before.
  • 05:26But you can you do have the ability to
  • 05:30add a editor to your profile so that they
  • 05:34also have access to this profile. Umm.
  • 05:42In addition to that,
  • 05:43you can manage things like
  • 05:45the how your name appears,
  • 05:47there's big we're importing everyone's
  • 05:49name from work day, but importantly.
  • 05:54You can put your own display name here.
  • 05:56If you'd like your name to appear slightly
  • 05:59differently then your legal name,
  • 06:01you can use these display first name,
  • 06:03display middle name fields,
  • 06:05etcetera to update her name appears.
  • 06:07But if your name legally changes,
  • 06:09you really should contact each other or go
  • 06:13into work day and your name in work day.
  • 06:17Do that and it will automatically
  • 06:19improve and it will automatically update
  • 06:20once it's processed and work day.
  • 06:22But you want to make sure that you're.
  • 06:24Legal name is what is the assistant
  • 06:28record at Yale, which is work day.
  • 06:32Another important element is
  • 06:33managing your suffixes.
  • 06:37For the types of suffixes you want to add,
  • 06:40you have these your familial substances
  • 06:43like junior, senior, etcetera.
  • 06:44You can just go ahead and add those.
  • 06:47Same thing for professional suffixes.
  • 06:49If someone needs to add some
  • 06:51professional certification,
  • 06:52they don't seem this list,
  • 06:53just contact us and we'll try to add it here.
  • 06:56But importantly for your academic suffixes,
  • 07:00you're only going to be able to
  • 07:03choose suffixes that you've entered
  • 07:05the corresponding education that.
  • 07:07Information to your profile about.
  • 07:10So for example,
  • 07:11right now Doctor Grauer all he's
  • 07:13entered information about his MD
  • 07:15which he's already added to his name
  • 07:17and he also has educational if he
  • 07:19wanted his BS to show up, he can.
  • 07:22I don't think it's super popular option,
  • 07:24but it's there.
  • 07:24So if anyone ever is unable to
  • 07:27add a suffix because it's some
  • 07:29kind of degree they have,
  • 07:30make sure they know to go to the education
  • 07:33section and update that information
  • 07:34so that it will then be available to.
  • 07:37Another suffix.
  • 07:38We also put the suffixes editor
  • 07:40here so that people can easily
  • 07:43add to it after they've added
  • 07:45some new degree to their profile.
  • 07:51And we have all your standard info.
  • 07:53This is nothing different from the current,
  • 07:55the old profile system,
  • 07:57I should say, your phone numbers,
  • 08:01your e-mail mailing address.
  • 08:04Importantly, one thing that
  • 08:06we'd like to start tracking,
  • 08:08especially for our leadership
  • 08:10and chairs and people like that,
  • 08:13their administrative assistance.
  • 08:15We're going to use this both to output
  • 08:19information about who the best person
  • 08:21to contact is for those people who
  • 08:23might be too busy to take their own
  • 08:25emails and phone calls all the time.
  • 08:27But also we're hoping to use the
  • 08:29data in the system for general
  • 08:32reporting purposes as well. So.
  • 08:34It'd be really helpful if we could
  • 08:37fill out these assistant fields.
  • 08:40As needed so that we have this
  • 08:42data stored somewhere.
  • 08:44Um. That about covers it.
  • 08:47For the overview I'm going to skip to,
  • 08:51well, I'll quickly go,
  • 08:52biography hasn't changed very much.
  • 08:54You can still. Update your biography.
  • 08:59When it appears.
  • 09:05You can still update your biography,
  • 09:07and you may or may not sometimes.
  • 09:10Faculty and staff will be used appear in
  • 09:14listings that have custom biographies,
  • 09:17for whatever reason,
  • 09:18provide their role specifically in such
  • 09:21as it pertains to some organization.
  • 09:24For example, that could growler
  • 09:26has his primary biography that
  • 09:28appears on his profile,
  • 09:29but he has a special biography that
  • 09:32appears on the office of Academic and
  • 09:35Professional Development site that
  • 09:37describes his role for that office.
  • 09:40Because these only appear in certain sites,
  • 09:43we don't allow users generally to edit these,
  • 09:48but they can request a change if they
  • 09:50find something inaccurate they display
  • 09:51here so they know what they say.
  • 09:53Even if they don't,
  • 09:54they might not be aware all the
  • 09:56places their profiles appearing,
  • 09:57but we don't allow them to edit this
  • 09:59just because it could cause issues if
  • 10:02they don't realize the context in which
  • 10:04this profile appears on the website.
  • 10:06But again,
  • 10:07they could always request an
  • 10:08edit with this button here.
  • 10:09Mark,
  • 10:10can I interrupt you for a SEC because
  • 10:11this is where I got tripped up yesterday.
  • 10:13Could you talk about the autosave feature?
  • 10:17And I realized I'm in the live
  • 10:18system where I don't want to be,
  • 10:20so.
  • 10:23Been carefully avoiding making
  • 10:24any actual updates, so let me go.
  • 10:26This is just a development environment,
  • 10:27so don't be scared that I'm screwing
  • 10:30up Doctor Rogers by bio here.
  • 10:32This is only in our test system, so.
  • 10:36In profile system,
  • 10:37whenever you need any kind of edit,
  • 10:40you would always have to go click
  • 10:41some button that says save or update
  • 10:43in order for that change to be saved.
  • 10:45One theme you're gonna notice
  • 10:47throughout the system is in a lot
  • 10:50of places where you're using an
  • 10:52autosave function to save your
  • 10:54edits as you're making them.
  • 10:55This is both for convenience and
  • 10:58to make sure if you're spending
  • 11:01lots and lots of time,
  • 11:02I could easily spend maybe 30 minutes
  • 11:04or more editing somebody's biography.
  • 11:06Writing it from scratch,
  • 11:07even we don't want you to lose your work,
  • 11:09so you're periodically,
  • 11:11periodically going to as
  • 11:13you're making changes.
  • 11:19You will see this little green
  • 11:21check appear in that field.
  • 11:23That green check means that
  • 11:24we've saved whatever you wrote.
  • 11:26Obviously I need to go back and fix my typos,
  • 11:28but we're going to save as you're
  • 11:30making edits so that in the event
  • 11:33that you lose Internet access,
  • 11:34your computer crashes and you totally lose
  • 11:37your place in the system when you come back,
  • 11:40it's going to start.
  • 11:41Your changes are still going to be there,
  • 11:43and that's not just the bio.
  • 11:44Importantly,
  • 11:45that's for lots and lots of field
  • 11:47throughout if you're ever editing on a page.
  • 11:49And you don't see a save
  • 11:51button or an update button.
  • 11:52Keep an eye out for this little check
  • 11:55because your changes are probably
  • 11:57being saved as you're editing. Umm.
  • 12:01I'll quickly go over education.
  • 12:03One place you often you might
  • 12:05not see the autosave function so
  • 12:07often is in a model like this one
  • 12:10or a pop-up so when I add a new
  • 12:13education for my education list
  • 12:15when I'm adding this degree.
  • 12:21I need to actually fill out all
  • 12:24the required information first.
  • 12:28And then once I have.
  • 12:36Once I have, then I'm going to hit add.
  • 12:38So usually the rule is if I'm editing
  • 12:41in a field that's on the page,
  • 12:44like the biography,
  • 12:45this guy biography field,
  • 12:47it's going to be autosaved.
  • 12:49If I'm interacting with some kind of pop up,
  • 12:51I probably need to hit an add or
  • 12:53update button in order to save my work.
  • 12:56So that's just a general rule.
  • 12:58It's not, I don't think it's
  • 12:59necessarily true throughout,
  • 13:00but that's a general guideline
  • 13:02so you know you can save.
  • 13:06Let's keep going.
  • 13:07I'm going to touch on titles really quickly.
  • 13:11Umm, your primary title?
  • 13:13So Doctor Brauer's primary title is
  • 13:15professor of orthopedics and rehabilitation.
  • 13:18This is coming from work day.
  • 13:20We're not going to be able to edit this year.
  • 13:22You're not be able to hide it
  • 13:24from your profile because we want
  • 13:26to show your role at the school.
  • 13:28If this is wrong,
  • 13:29you're going to have to
  • 13:31contact employee services,
  • 13:32which you have the address right here
  • 13:34to get that corrected and it may
  • 13:37involve various departments to get
  • 13:38the backup information and all that.
  • 13:40But
  • 13:40once it's updated and work day,
  • 13:42it will import into the system overnight.
  • 13:45We sync with work day once once a day,
  • 13:47right? Thank you, Justin.
  • 13:52Additionally,
  • 13:52we can add administrative positions.
  • 13:55These aren't really tracked in work day,
  • 13:58so we we have to rely on people
  • 14:01inputting this data themselves.
  • 14:04You can Add all the titles that
  • 14:07are relevant and you can choose
  • 14:09to show or hide them as you wish.
  • 14:12The exception is we're obviously not going
  • 14:14to show any titles that are from the past.
  • 14:16You're not be able to
  • 14:17display these on the site,
  • 14:18but it's nice to have this record.
  • 14:21Again, just so we have this record
  • 14:23of previous positions of the
  • 14:24school similar to the assistance,
  • 14:26this could be useful data to
  • 14:28have for reporting purposes.
  • 14:30Um, patient care.
  • 14:31Again,
  • 14:32I'm not going to dive too deep into this,
  • 14:35but the main things to be aware of are
  • 14:39for faculty who are also specialists,
  • 14:43seeing patients for you
  • 14:45through real medicine.
  • 14:46They're going to want to make sure
  • 14:49that this information is up to date.
  • 14:51Importantly, they are going to want
  • 14:55to select their specialties and.
  • 14:58Especially these expertise areas
  • 15:01of specialization.
  • 15:03Generally,
  • 15:03on the yalemedicine.org website,
  • 15:05we're associating the specialists
  • 15:09with conditions that that are
  • 15:12treated and news articles that are
  • 15:15written by the YM content team.
  • 15:18Or associating that based on the ICD 9
  • 15:21and CPT 10 codes that they bill against.
  • 15:25It's all anonymized.
  • 15:26So we're not dealing with
  • 15:28any sense of information.
  • 15:29It's simply what kinds of we're tracking,
  • 15:32what kinds of things these
  • 15:34special surveilling for.
  • 15:36But that might not always give
  • 15:38an accurate picture of what that
  • 15:41specialist is actually treating.
  • 15:43For example,
  • 15:44you might have some super specialty quote,
  • 15:47UN quote that is. Very rare and.
  • 15:50They're not seeing patients that often,
  • 15:53but it's really their entire focus of
  • 15:55their career could be treated treating
  • 15:58this particularly rare illness.
  • 16:00So they're going to want to make
  • 16:03sure that that is reflected in
  • 16:06this expertise areas section.
  • 16:08Similarly this how do you want
  • 16:10to build your practice for new
  • 16:13faculty or specialists who are
  • 16:15looking to expand into another area?
  • 16:17They might want to be associated with
  • 16:20conditions that they're not necessarily.
  • 16:22Seeing people for at the moment
  • 16:24because they're interested in
  • 16:27seeing patients in that capacity.
  • 16:30So again, in that case,
  • 16:31they're going to make sure they fill
  • 16:33out this list with relevant values,
  • 16:34so they'll be associated with
  • 16:36the conditions they want to be
  • 16:38associated with on the website.
  • 16:39Lastly.
  • 16:42We'll just want to make sure
  • 16:44that the answer to these patient
  • 16:46interactions questions are correct
  • 16:47and accurate because if they if
  • 16:49they answer to do you provide
  • 16:51direct patient care and or clinical
  • 16:53services related to patients is no,
  • 16:54then you're not going to show up on the site.
  • 16:56So we want to make sure this
  • 16:59question is accurately filled out
  • 17:01here so that everybody should be
  • 17:03appearing on the yalemedicine.org
  • 17:04site is appearing there.
  • 17:08OK. We've got several things here
  • 17:10that are not a whole lot different in
  • 17:13the new system and Beatrix as they
  • 17:15were in profile systems, not again,
  • 17:18not going to spend too much time,
  • 17:20but we've broken out these honors so that
  • 17:23it's hopefully easier to scan to these
  • 17:27different categories and manage those.
  • 17:30And the research section,
  • 17:32this hasn't changed a whole lot.
  • 17:34Faculty and researchers could
  • 17:37describe their work on research.
  • 17:41They can indicate their research interests.
  • 17:44There is a custom list of keywords
  • 17:47for public health faculty for their
  • 17:49institutional priorities and areas of focus,
  • 17:52and then for everyone, really,
  • 17:56we have a mesh which is managed by the NIH.
  • 18:02We aren't doing a whole lot
  • 18:04with these mesh categories yet,
  • 18:06but we will in the future,
  • 18:08so we'll be asking people to fill
  • 18:11these out in earnest sometime
  • 18:13in the near future. We're
  • 18:15going to use an AI based system
  • 18:18that we've built for Yale Medicine
  • 18:20to derive mesh keywords for
  • 18:22faculty and suggest them to them.
  • 18:25So it's easier than going in and
  • 18:27trying to select from the many,
  • 18:28many thousands of mesh keywords
  • 18:30that exist and then create.
  • 18:32And approval system. So you
  • 18:34know navigating this hierarchy
  • 18:36is not the best, so I'm going to
  • 18:38try to make it a little easier
  • 18:39for people to fill this out.
  • 18:44Um, OK. Publications is entirely different
  • 18:49in Beatrix than it was in profile system.
  • 18:53We have a brand new integration
  • 18:55with this tool, dimensions AI,
  • 18:58which will hopefully automatically
  • 19:02match only the publications that
  • 19:05are truly associated with Doctor,
  • 19:08Grauer or whoever's profile
  • 19:09we happen to be looking at.
  • 19:11When new publications
  • 19:13come in from dimensions,
  • 19:16they will appear in this pending tab.
  • 19:18I think actually I might have to peek at
  • 19:21the production system because I believe yes.
  • 19:25So if you have pending and I'm not going
  • 19:26to touch any of these again because
  • 19:28now we're back in the lives of Beatrix.
  • 19:30But if new publications are
  • 19:34identified by dimensions,
  • 19:36we're going to import them.
  • 19:37And then the faculty member or researcher
  • 19:40will have the ability to come in and
  • 19:43improve or reject these based on
  • 19:45whether or not they actually belong to them.
  • 19:48Um, importantly,
  • 19:49generally these should be mostly correct.
  • 19:53We shouldn't see a whole lot of
  • 19:55incorrect publications that are not
  • 19:57actually associated with it with the person.
  • 20:00Umm, if we do,
  • 20:02if a faculty member comes
  • 20:04to you with this problem,
  • 20:06or you happen to notice somebody with
  • 20:08lots of publications that don't seem
  • 20:10right and do not belong to them,
  • 20:12it's probably because we need to
  • 20:14reconfigure how we're importing
  • 20:16their publications.
  • 20:17So.
  • 20:18If somebody's seeing lots and lots
  • 20:20of incorrect publications that
  • 20:21do not belong to them,
  • 20:23they should go down to this button
  • 20:26here where it says don't see your
  • 20:29publications and they can briefly
  • 20:31describe the issue if they have a
  • 20:33pub Med query that they use or my
  • 20:36bibliography and the NCBI website.
  • 20:38A link to that would be helpful to
  • 20:41help us correct this but and some
  • 20:44people could have multiple dimensions,
  • 20:47profiles or might be missing some
  • 20:49of their publications.
  • 20:50That's also a problem that we have to
  • 20:51fix with the import configuration.
  • 20:53So if something seems very wrong,
  • 20:55we're missing a lot of publications,
  • 20:56or there are lots of publications
  • 20:59that don't belong,
  • 21:00please use this button to let us know,
  • 21:02and then we can try to correct
  • 21:05their import settings.
  • 21:06Similarly for new faculty.
  • 21:11It would be best if when they start,
  • 21:15you could let us know by contacting
  • 21:18us at YS n.editor@yale.edu.
  • 21:20And honestly the best thing to
  • 21:23try to configure import settings
  • 21:25correctly as a copy of their CD.
  • 21:28So if people see no publications at all,
  • 21:32if you could send us either their CD by
  • 21:36contacting wise and that editor at yale.edu,
  • 21:38or some of those other
  • 21:40items like the bibliography.
  • 21:41Um, that would be really helpful for
  • 21:43making sure those settings are correct.
  • 21:46You'll also notice that.
  • 21:47Umm, can you go back?
  • 21:50You'll notice that.
  • 21:51All of the imported publications
  • 21:53have a category peer reviewed
  • 21:55original research by default.
  • 21:57That is not necessarily going to be correct.
  • 22:00So in Doctor Grauer's list I
  • 22:05noticed there was a chapter there.
  • 22:08There might be abstracts
  • 22:11so the user will want to.
  • 22:15Change that. By just clicking that dropdown
  • 22:20and changing it to another category.
  • 22:22Um, so that it's category categorized
  • 22:24correctly on their CV because
  • 22:26this feeds into the CV builder?
  • 22:32Thank you. I'm just going to answer
  • 22:34the two questions that I see
  • 22:36in chat regarding publications.
  • 22:38So dimensions has about 160
  • 22:40million publications in it that
  • 22:43are out that that cover pub Med.
  • 22:45But also outside of pub Med,
  • 22:48there's a bunch of different data
  • 22:50sources the dimensions pulls from.
  • 22:52You all have access actually to
  • 22:54go poke around and dimensions any
  • 22:56anyone at the School of Medicine
  • 22:58or schools of public health.
  • 23:00Have access to log into dimensions to
  • 23:01look at it. It's a pretty powerful tool.
  • 23:05We are going to investigate.
  • 23:08Uh, connecting publications to Scopus
  • 23:11and Web of science and a couple of
  • 23:14other data sources in the future.
  • 23:17But we started with dimensions.
  • 23:18When we finished that project,
  • 23:20it should have.
  • 23:21Pretty comprehensive coverage
  • 23:23across all publication sources.
  • 23:25On the other question is when
  • 23:27faculty create their own articles or
  • 23:29publications or they now auto approve
  • 23:31to appear on their profile, yes.
  • 23:33So if there is a publication that
  • 23:36is not imported through dimensions,
  • 23:39there's a button at the bottom that
  • 23:40says manually out of publication
  • 23:42and you can add that publication.
  • 23:44You can either put in the pub
  • 23:45Med ID or you can click the other
  • 23:47button and put in the full citation
  • 23:49and that will automatically.
  • 23:51Here on their profile other
  • 23:53important note about publications
  • 23:55when a faculty member approves a
  • 23:58publication from their pending list.
  • 24:01I was if you could just go
  • 24:03over to the accepted,
  • 24:04yeah so the you'll see a public
  • 24:06toggle in the public column.
  • 24:09That toggle green toggle means that
  • 24:11it will appear on their profile.
  • 24:13If they toggle that to red,
  • 24:15then the publication will not
  • 24:16appear on their public profile.
  • 24:18That's how you they can control now.
  • 24:20Um, what shows up on their public profile?
  • 24:23They can also feature an article.
  • 24:25So if there's a Seminole piece of
  • 24:27research that they published that
  • 24:28they want to always appear at the
  • 24:30top of their publication list,
  • 24:32you can click that star that
  • 24:34Elvis is clicking and that will
  • 24:36go into the featured list.
  • 24:38And those publications up to five.
  • 24:41We're only letting people do 5.
  • 24:43Up to five of those will always appear
  • 24:45at the top of their publications list.
  • 24:51All right. Thank you.
  • 24:53I'm going to skip really quickly through
  • 24:55the next few things because again,
  • 24:56they haven't changed a whole lot.
  • 24:59Well, so we did merge and I forget what
  • 25:04they were called professional services.
  • 25:06And international activity into this new.
  • 25:10Big old category called
  • 25:12Professional Activity,
  • 25:13just because it turns out we were
  • 25:16tracking two very similar things
  • 25:18differently and now we're just merging
  • 25:21this so we can get more comprehensive
  • 25:24list of all the kinds of things
  • 25:27outside of their current positions,
  • 25:29research, etcetera, that the faculty
  • 25:31and staff are doing at the school,
  • 25:34so they can put all kinds of things.
  • 25:36Oops, sorry about that.
  • 25:37All kinds of things are participating
  • 25:39in committees, advisory boards.

  • 25:55You can review any news in
  • 25:57the time being here.
  • 25:59That's the same as the old
  • 26:02system related links that
  • 26:03users would like to appear in
  • 26:05their profile be stored here.
  • 26:07We
  • 26:07should not just a clarification on
  • 26:09related links. We used to ask people
  • 26:12to put external news articles.
  • 26:13So if they were quoted in the New York
  • 26:15Times or something and they wanted
  • 26:16to link to that to put it there.
  • 26:18We ask that you not do that anymore,
  • 26:20but go and through news and
  • 26:24you can when you add it,
  • 26:26when the faculty member adds a piece of news,
  • 26:28they can select it as an external
  • 26:30article and put in a link to the
  • 26:32New York Times page and put the
  • 26:33article in and stuff and that
  • 26:35will then appear in their news.
  • 26:37Listing instead of related links.
  • 26:41All right. Thank you.
  • 26:43And then similarly to news,
  • 26:46you could see a list of events here
  • 26:48tagged in by going over the events.
  • 26:51Age. This is all again saying ported
  • 26:55over from old profile system,
  • 26:58clinical trials, very similar.
  • 26:59If they're an investigator in a trial,
  • 27:01it's going to show up here.
  • 27:04Organizations. This is a much improved
  • 27:08UI interface over the previous system
  • 27:12that will let you see all of the
  • 27:14organizations that this person belongs to.
  • 27:17This could be useful for helping figure
  • 27:19out where they display on the website.
  • 27:22Um. I'm going to touch really
  • 27:25quickly on CV builder.
  • 27:26We're not going to go into
  • 27:28this too deeply today,
  • 27:30but users can create a CD based on all
  • 27:34their profile data using this tool.
  • 27:38They can also even use this.
  • 27:42To help as a guide to fill out their
  • 27:45existing, their current profile.
  • 27:46If their current profile is
  • 27:47and all that fleshed out,
  • 27:48it can be a helpful exercise
  • 27:50to run through this.
  • 27:51If they need to create CV anyway,
  • 27:52they can do a kill two birds with
  • 27:55one stone and create their CD and
  • 27:58fill out some pertinent information
  • 28:00on their bio in their profile.
  • 28:02Next year we are going to be
  • 28:05introducing a tool that will
  • 28:07allow backwards to to upload an
  • 28:09existing CD and automatically
  • 28:11fill out lots of this information,
  • 28:15which is very exciting.
  • 28:16It's not going to be 100% accurate.
  • 28:19There's going to be a
  • 28:20review process involved,
  • 28:21but we're trying to make it as little
  • 28:24work as possible for faculty and staff
  • 28:26to get their information in the system,
  • 28:28so.
  • 28:28You'll definitely be hearing more about that.
  • 28:31It's not going to be ready
  • 28:33until the next calendar year.
  • 28:35We'll be talking about that
  • 28:37more in coming meetings.
  • 28:40OK, I will quickly go over organizations.
  • 28:45The functionality here is pretty
  • 28:47much the same as it was in
  • 28:50the previous profile system,
  • 28:54but we did make some enhancements
  • 28:58specifically about as it pertains
  • 29:01to managing membership lists.
  • 29:03One thing is we've tried to add
  • 29:05people's headshots in here,
  • 29:07so it's a little easier to
  • 29:08remember who these people are.
  • 29:09When you're managing these lists
  • 29:11and also make sure you're adding
  • 29:13the right person when we have
  • 29:15different people with similar names.
  • 29:17You can also maybe this isn't the best
  • 29:19example because aren't there any people,
  • 29:21but you can edit people in bulk.
  • 29:23So if I wanted to change
  • 29:26everybody's status from.
  • 29:27Yes or no or vice versa very easily
  • 29:30here by selecting everybody in the list.
  • 29:33But using this check box,
  • 29:35I could also select some subset.
  • 29:37If I just wanted to turn off these
  • 29:39three people for whatever reason or I
  • 29:40wanted to add them all the leadership,
  • 29:42I could do that too.
  • 29:44So we got some.
  • 29:46We added some bulk at editing tools here to
  • 29:49try to make this a not so arduous process.
  • 29:53Now that we have this nicer new UI,
  • 29:55we are going to try to ask more
  • 29:57people to manage these directly.
  • 29:59Umm.
  • 30:00The benefit of this is you don't have
  • 30:02to make a ticket in order to update
  • 30:04the membership lists on your website.
  • 30:06You can just log right in.
  • 30:07We'll have this easy to use tool.
  • 30:09Or you can manage this and you'll see
  • 30:11the update on the website in a few minutes.
  • 30:15So.
  • 30:17That's about it.
  • 30:23OK, importantly, I skipped over this.
  • 30:26We had the concept of display groups
  • 30:29in profile system, and this is one.
  • 30:31We're making groups of people that aren't
  • 30:33really meaningful organizations at school.
  • 30:35But for whatever reason,
  • 30:36we might want to display a certain subset
  • 30:39of people in a list on the website.
  • 30:41For instance, faculty,
  • 30:43advisors for a particular
  • 30:46fellowship or something like that.
  • 30:48In profile system.
  • 30:49These were called display groups.
  • 30:51We've renamed them.
  • 30:53Rename them to teams.
  • 30:54So if you see teams,
  • 30:56that's what that's about.
  • 30:58These are.
  • 30:59Sort of organizations,
  • 31:00but they're really just meant to
  • 31:03display some subset of people for a
  • 31:05particular use case on the website.
  • 31:08Umm.
  • 31:11So teams can come in handy for
  • 31:14website display. Um, alright.
  • 31:15I'm not going to touch on any of
  • 31:18these other items at the moment.
  • 31:20I'm going to skip over and then just
  • 31:22in time I'm going to skip over to news.
  • 31:27News, the functionality is largely the same.
  • 31:31There is A and I've pre selected
  • 31:33an article to look at here.
  • 31:35It's actually one of Ryan's articles I
  • 31:39just wanted to review here and again Fran.
  • 31:41I made some edits here,
  • 31:41but it's only an acceptance environment.
  • 31:43Don't worry, I didn't edit your
  • 31:46live article on the website.
  • 31:48When you're, one thing you'll notice
  • 31:50is that instead of navigating
  • 31:52through several different screens
  • 31:53with a limited subset of fields,
  • 31:56you can browse all of the
  • 31:59fields on the same page.
  • 32:01Importantly, note on every page,
  • 32:04pretty much every page would be a trick.
  • 32:05We've added this helpful anchor
  • 32:06list that will let you navigate
  • 32:08quickly to different sections of
  • 32:10the current page you're looking at.
  • 32:12So if I.
  • 32:13Made one edit to the title and then
  • 32:15I wanted to publish that change.
  • 32:17I could make my edit,
  • 32:18click the publish and then I go
  • 32:20right down to publish this article.
  • 32:22Which leads me to important point.
  • 32:25Previously in the system once you
  • 32:27published an article that was it,
  • 32:29it was live.
  • 32:30If you made changes they would appear
  • 32:32a little bit after on the live site.
  • 32:37To make this a little more of a
  • 32:39make this a little more friendly,
  • 32:41if you're making drastic revisions to
  • 32:44an article, we've sort of introduced
  • 32:46this concept of a draft status.
  • 32:48So if I have written this article,
  • 32:52I finished it, I published it,
  • 32:54and I later go back to make changes,
  • 32:57once I start making changes, they're not
  • 33:00going to immediately go to the live site.
  • 33:02They're not going to go to the live site
  • 33:05until I go to the bottom of this page.
  • 33:07And of course,
  • 33:08it didn't say my edit just yet.
  • 33:09Oh no, it's OK. Um.
  • 33:14And if I make these edits then.
  • 33:20OK, well it should be telling me that
  • 33:22I have unsafe changes on this article.
  • 33:24OK, here it is. So I see this
  • 33:26message at the top that says this
  • 33:27article is unpublished changes.
  • 33:29In order for them to actually
  • 33:30be reflected on the website,
  • 33:31I have to go down and hit publish.
  • 33:33That will republish the article with
  • 33:36all the latest changes I've made.
  • 33:38Just like the old system,
  • 33:40if I click this preview article button,
  • 33:42I can preview the changes I've
  • 33:44made before I actually publish it.
  • 33:45Um, one thing I added here,
  • 33:47even though it has no actual relevance
  • 33:49to this article, is a related event,
  • 33:51because this is a feature we added recently.
  • 33:53If you're writing an article
  • 33:55about some event,
  • 33:56it'd really be best if you could.
  • 33:58Also, if there's not an event
  • 34:00in our calendar system already,
  • 34:01create an event for that.
  • 34:05Conference or seminar or
  • 34:06whatever kind of event it is,
  • 34:08and then people can easily access
  • 34:10information about the event while
  • 34:12they're reading the news article.
  • 34:13They'll get tools like downloading
  • 34:15the event to their calendar location,
  • 34:17RSVP information and all that.
  • 34:20So that's a really handy feature
  • 34:22that we added that's just exposing
  • 34:25more of the data we have already.
  • 34:27Also, I wanted to call out the
  • 34:29use of the call to action link
  • 34:32that frame used in this article.
  • 34:34This is really handy if there
  • 34:36is some kind of action you would
  • 34:38like users to take after reading
  • 34:40your article so it appears at
  • 34:41the very bottom of the article,
  • 34:43and then you could even just link
  • 34:45to your news page if you wanted
  • 34:46for them to read more articles
  • 34:48or you could link to something.
  • 34:49It's probably honestly more effective if
  • 34:52you're linking to some specific other
  • 34:55article or information on your site.
  • 34:57That will be helpful to the person who
  • 34:59read this article and that call to action.
  • 35:04Sorry,
  • 35:04I'm skipping around a little bit.
  • 35:08My related events are going to be
  • 35:10managed in this related content section.
  • 35:12Oh, I'm sorry, this is really important,
  • 35:14but I haven't mentioned yet so
  • 35:15that you can easily manage the UI.
  • 35:17We've added the concept of these
  • 35:19recordings so you can show and hide
  • 35:21content here as you're editing.
  • 35:23The more popular sections for editing
  • 35:25you'll find are expanding by default,
  • 35:27but some sections that don't necessarily
  • 35:29get used that often might be collapsed.
  • 35:32If you're not seeing some
  • 35:33field that you're looking for,
  • 35:35it's most likely in a collapse section.
  • 35:36You just need to use these arrow toggles.
  • 35:38To show or hide those fields.
  • 35:41This is where my related links in my
  • 35:43related events show up and that call
  • 35:45to action you might have just seen.
  • 35:47It appears just below this article body.
  • 35:50You can add the title,
  • 35:52a subtitle if you want it the
  • 35:55actual text for the link that the
  • 35:58button that appears in the target.
  • 36:01Could you show people
  • 36:02how to add a pull quote?
  • 36:07Yes. So this article editor,
  • 36:10you'll find is much,
  • 36:12much different than it was previously.
  • 36:14That used to be that there was a
  • 36:16dedicated field for poll quotes
  • 36:17and you could only put one and you
  • 36:19couldn't control where it appeared.
  • 36:21We were just kind of stick it
  • 36:22in the middle of the article.
  • 36:24Now you'll have the ability to,
  • 36:26with this new editor,
  • 36:28insert a pull quote wherever you want.
  • 36:31Once I start editing in an article on,
  • 36:33there are a bunch of features hiding
  • 36:35behind this little plus sign.
  • 36:36I could add things like media and
  • 36:39a pull quote. And I can just.
  • 36:43I should have thought more about
  • 36:45this before I entered it,
  • 36:46but I could add this little
  • 36:49poll quote and it.
  • 36:50Gives you some default information
  • 36:53that you can write over with
  • 36:55your actual quote and credit.
  • 36:56And once I do that.
  • 36:59I can preview my article again.
  • 37:02And there's my poco.
  • 37:05And they can.
  • 37:06It's appearing exactly where I
  • 37:08put it in my article content.
  • 37:10So we're trying to add some more flexibility.
  • 37:13We actually are hopefully going to be
  • 37:16adding some additional flexibility
  • 37:18soon and even more options.
  • 37:20And we'll cover that a little bit more.
  • 37:23I'm not sure there's going to
  • 37:24be ready in time for our news
  • 37:26training that we have scheduled,
  • 37:27but we'll at least tell you about some
  • 37:29of the options that we're working on.
  • 37:31Can you show people where
  • 37:33the bulleted list moved to?
  • 37:36Yeah, we're going to fix this.
  • 37:37This is kind of silly.
  • 37:38If you need to add a bullet list,
  • 37:40it's behind this format button.
  • 37:42I don't know how that ended up there,
  • 37:44but it's not the expected place.
  • 37:46But you can totally add
  • 37:48your bullets as needed.
  • 37:50Here you just need to click behind
  • 37:52this paragraph symbol format button.
  • 37:54This is also where you can add
  • 37:57headings throughout your article.
  • 37:59Just make sure this could be a
  • 38:02whole separate training town hall,
  • 38:04but make sure you use the correct
  • 38:05semantic order for your headings.
  • 38:07We will definitely cover that more.
  • 38:09In the news specific session,
  • 38:12Amy asks whether you can take
  • 38:14a paragraph and create a quote
  • 38:16from it by clicking the button.
  • 38:18I'm assuming no,
  • 38:19that you could just copy it.
  • 38:21I think no, but yeah,
  • 38:22I could just highlight this text,
  • 38:24copy it, and then when I add,
  • 38:26well that's probably going to break
  • 38:27if I try to add a quote in a bullet.
  • 38:29But then if I make my new quote,
  • 38:33I can just copy and paste there.
  • 38:41Yeah. So future state,
  • 38:42we're going to add a bunch of
  • 38:44other layout options to this,
  • 38:46so you can insert columns and and do
  • 38:49a lot of a lot of things with it.
  • 38:52We didn't have that ready for this launch,
  • 38:54but that should be done in the new year.
  • 38:57Early in the New year, yes. Um.
  • 39:02The only other thing I'm going
  • 39:04to touch on in news for now is
  • 39:07suggested articles. Yeah. And
  • 39:09there's a for the comms officers on the call.
  • 39:12We're going to go over this some more
  • 39:14in the comms officer meeting tomorrow,
  • 39:17Jill's comms officer meeting and then
  • 39:19there's a specific news training session.
  • 39:24That's happening in the New Year,
  • 39:26where we'll go into a deep dive of news.
  • 39:30Yeah, so I have access to
  • 39:32lots and lots of stuff.
  • 39:34So I see that Sun suggested articles.
  • 39:39If you see way too much
  • 39:40and it's overwhelming,
  • 39:41there's probably a subset of
  • 39:43organizations that you really care about.
  • 39:45One important thing about Beatrix
  • 39:47is the permissions model is very,
  • 39:49very different from profile system.
  • 39:52It's much more powerful.
  • 39:55But you're going to find
  • 39:56that you have access.
  • 39:57You probably have access to a lot more
  • 40:00organizations than you did previously,
  • 40:01especially if you had access at a
  • 40:04department level or higher previously.
  • 40:07If you see way too many organizations
  • 40:08that you're never ever going to touch,
  • 40:10and it doesn't even make sense
  • 40:11for you to have editing access to,
  • 40:13then contact us and we'll work with
  • 40:16you to update these permissions.
  • 40:18But in the meantime,
  • 40:19I can focus in on some specific
  • 40:22organization just by selecting it from
  • 40:24this organization drop down list.
  • 40:27Also, once I select a single organization,
  • 40:29I have the ability to approve or reject
  • 40:31an Oracle from here very quickly if I want.
  • 40:33That's not going to be an option
  • 40:36if I'm looking at the list of all
  • 40:38the organizations I have access to.
  • 40:40Umm, and again,
  • 40:42if I go to a organization that has multiple,
  • 40:46if I review all these really quickly
  • 40:49and I decide these are all good to go,
  • 40:51I could approve all of these at once.
  • 40:53Again,
  • 40:53that's only going to happen once
  • 40:55I've selected a single organization
  • 40:58from this filter.
  • 41:00If you only have access to one organization,
  • 41:02you should see this these options
  • 41:03by default though,
  • 41:04you shouldn't have to select an organization.
  • 41:05We're just going to show you only those
  • 41:08articles in the one organization that
  • 41:11you have news approval access for.
  • 41:14Um,
  • 41:14and you might notice there's a bug
  • 41:16where system account is appearing
  • 41:18instead of the actual submitter.
  • 41:20We're working on that.
  • 41:22Um, OK, I'm going to skip over to events now.
  • 41:31I identified another event
  • 41:34that I want to review here.
  • 41:38Again, similar to news,
  • 41:39not a whole lot has changed here.
  • 41:41It's most, it's all the same fields.
  • 41:44We did add the same concept of
  • 41:47publishing and we have and I made some
  • 41:49updates for the meeting that this was
  • 41:51the message I was looking for before,
  • 41:54but I haven't published just yet
  • 41:56and as you'll see, we have. Umm.
  • 42:00Expose everything on a single page
  • 42:02and again have these anchor links to
  • 42:05quickly navigate through this page.
  • 42:08All these fields we've seen really,
  • 42:10I'm not going to spend too
  • 42:11much time going over this.
  • 42:12One important relatively new
  • 42:14field we added is the ability
  • 42:17to add videos to your events,
  • 42:20which could be really helpful
  • 42:22for displaying with some past
  • 42:24conferences or grand rounds,
  • 42:26things like that, so.
  • 42:30Start adding your videos after the
  • 42:32fact if you want to be trapped having
  • 42:35lists of previous zoom recordings or
  • 42:37something like that in your website.
  • 42:39I skipped over this for news,
  • 42:41but it works essentially
  • 42:43identically in events and news.
  • 42:45But when you're tagging your event or news
  • 42:49item, the process really hasn't changed.
  • 42:52Keywords have been renamed as tags,
  • 42:55but they're they function the exact same way.
  • 42:59We tied our speakers, our hosts,
  • 43:02users or orgs and then.
  • 43:06We will add it to our.
  • 43:09These are really just organizations now,
  • 43:11but we call them calendars.
  • 43:13We choose which calendars
  • 43:14we'd like to add it to.
  • 43:16Some calendars would be added
  • 43:18automatically depending on who is tagged.
  • 43:22So if I want to add this event to.
  • 43:26Abdominal imaging I could add just this one.
  • 43:29I'm actually sorry I should explain.
  • 43:31I'm looking at the occurrence
  • 43:33of a recurring event.
  • 43:34So I'm looking at a single
  • 43:36occurrence of a repeated event.
  • 43:37That's why I see this full event
  • 43:39series button link in the side that
  • 43:41will link me over to the primary event
  • 43:44that I created in the 1st place to
  • 43:46create all these event occurrences.
  • 43:49But if I'm looking at a
  • 43:50single occurrence of event,
  • 43:51I could suggest just this occurrence
  • 43:54to a calendar or the entire series.
  • 43:58So that's why we see two
  • 44:00different options here.
  • 44:01So if you want every instance of this
  • 44:04yoga restorative yoga to go to a calendar,
  • 44:07I would click the calendar button.
  • 44:09If I just want this one occurrence,
  • 44:10I click this little plus. Umm.
  • 44:16And then you could see the status
  • 44:18of the various suggestions here.
  • 44:20And again,
  • 44:21we've implemented the same exact
  • 44:24published publishing logic that
  • 44:26we implemented for news here.
  • 44:28So if I'm making changes to an
  • 44:31already published event currents
  • 44:33they're not going to show up on
  • 44:34the website until I click publish.
  • 44:36And again,
  • 44:37I can preview my changes without
  • 44:40publishing by clicking this preview button.
  • 44:43And unfortunately I'm in the test system,
  • 44:45so it's a little slower than
  • 44:46the prod environment,
  • 44:47but now I see my preview.
  • 44:52Umm, I think that 01,
  • 44:58another feature that we implemented.
  • 45:00This is carried over from profile system,
  • 45:03but it was in the last few months
  • 45:06of profile system that we added.
  • 45:07It wasn't integration with campus groups,
  • 45:10which is the calendaring tool that is
  • 45:13used by the mainly by student groups.
  • 45:17You can actually search for all these events.
  • 45:20Umm. Here, if you'd like they will show up.
  • 45:25I sorry, I should have thought of one
  • 45:28that is definitely an external event,
  • 45:30so I could show you.
  • 45:31But if you know there's some student
  • 45:33event that was entered in the camp by
  • 45:36a student on a campus groups calendar,
  • 45:38you we will be importing those
  • 45:40events on nightly I believe,
  • 45:43and you can search for it here and
  • 45:44add it directly to your calendar.
  • 45:46You don't have to copy and paste
  • 45:49all the details.
  • 45:50We're hoping we will eventually
  • 45:51have an integration.
  • 45:52With uh beadworks the Central
  • 45:54university calendar as well,
  • 45:56sometime soon.
  • 45:58I'm really hoping that integration will
  • 46:00go both ways because I know some of you
  • 46:02are managing calendars in both places.
  • 46:03Right now I need to work with
  • 46:06ITS to sort out that integration.
  • 46:10So hopefully that'll be something
  • 46:12that's coming in the next year or so.
  • 46:15Umm.
  • 46:17Were there any calendar questions
  • 46:19I should address before I move on?
  • 46:22Someone asked
  • 46:22about a uploading a video to an event
  • 46:25that used to have to go to the media
  • 46:27library and upload it directly from
  • 46:29there and then add it to your event.
  • 46:31But I was just saying over the
  • 46:33chat now you can actually do
  • 46:35that from the event itself so.
  • 46:39So. Thank you, it's kind of get Media
  • 46:41library is luckily the next topic,
  • 46:43so this will be a great introduction.
  • 46:46If I when I click upload media,
  • 46:49it's going to bring up this prompt.
  • 46:51This home screen is going to show
  • 46:53nothing if you haven't edited before,
  • 46:54which in my test environment I
  • 46:56guess I haven't. Sorry about that.
  • 46:58We're we're working on
  • 46:59making some tweaks here,
  • 47:00but I can go ahead and choose from.
  • 47:04All the media that people have
  • 47:06uploaded the system previously
  • 47:08and elected to be shareable,
  • 47:12so I could select from all those
  • 47:14or I could select something I've
  • 47:16uploaded previously personally.
  • 47:20Or if I have some new thing,
  • 47:22I could click this upload media button
  • 47:24and this is going to bring me through the
  • 47:26normal process of uploading the video,
  • 47:28adding all the relevant details and coding
  • 47:30and I'll add it directly to this event.
  • 47:32Or I could take an existing YouTube or
  • 47:36Vimeo video and just plug in the link here.
  • 47:40And add a video that way.
  • 47:43Importantly, in the old
  • 47:45system you would upload.
  • 47:47An asset to an an event or a news
  • 47:50article and it would only be
  • 47:52attached to that one thing, right?
  • 47:54So if you if you had a headshot
  • 47:56of someone and you want to put
  • 47:58it in a news article or an event,
  • 48:00you had to go get their headshot,
  • 48:01go to download it,
  • 48:02you have to upload it to that,
  • 48:04to that item.
  • 48:05So now we're making all headshots
  • 48:08available in the system,
  • 48:10so you can just search for it.
  • 48:11You don't need to go download it anymore,
  • 48:13it's just in the system and it will
  • 48:15tie it to their latest profile image.
  • 48:18And if you want to reuse an image that
  • 48:20you've put in another place in the system,
  • 48:23whether it be a news article,
  • 48:24an event or a profile,
  • 48:26those are going to be available
  • 48:28to you in your section.
  • 48:32And then anything anyone else
  • 48:34is added and made public,
  • 48:36so I will go over that now.
  • 48:39I think you kind of covered it there.
  • 48:41The only thing I'd say is that we're
  • 48:42trying to make it easier to find headshots.
  • 48:44Right now it's kind of hit or miss.
  • 48:46I would just try typing the person's
  • 48:49name in here and luckily Jonathan
  • 48:51growers headshot is the first thing
  • 48:54that comes up when I search grower.
  • 48:57You might not find that for all faculty.
  • 48:59They they should all be available here.
  • 49:03We're going to try to add a filter
  • 49:05here that I'll show just headshots
  • 49:07because we know these are really
  • 49:09popular images to use as news article
  • 49:11thumbnails and things like that,
  • 49:13so we're going to try to make it easier.
  • 49:14They are there.
  • 49:15If you're having trouble finding one,
  • 49:16let us know.
  • 49:17We'll try to dig it up for you so
  • 49:19you don't have to go to the website,
  • 49:20download the headshot from the profile,
  • 49:22and then upload it right back to
  • 49:24the matrix where it was already
  • 49:26for a news article or event.
  • 49:28Umm.
  • 49:32Let's see. I guess I'll run through.
  • 49:39Adding a video, and of course I don't
  • 49:41know if they're file readily available

  • 49:52I just browse for it, upload it.
  • 49:56Importantly, I think a lot of
  • 49:58people ran into an error with this
  • 50:01tool in the first couple days.
  • 50:03But the system was that
  • 50:05Beatrix was available.
  • 50:06There was some really strict slash,
  • 50:09incorrect file name checking
  • 50:11that we had on upload,
  • 50:13and those issues have been resolved.
  • 50:15So we're hoping you get many fewer errors
  • 50:18when you're trying to upload video files now.
  • 50:21You also will notice that my mom video
  • 50:25finished uploading and it's now encoding.
  • 50:28So it's not ready for use just yet.
  • 50:30I have to wait until this video is
  • 50:33finished in coding we have really not,
  • 50:36I have to admit not great messaging around
  • 50:39when your video is finishing coding.
  • 50:40Right now we're trying to update
  • 50:42this interface to make it a
  • 50:44lot clearer what's going on.
  • 50:45Give you kind of progress bars
  • 50:47if you have an idea of what's how
  • 50:49much longer you have to wait,
  • 50:51but you what you will see,
  • 50:53and I kind of skipped over this part,
  • 50:56is a notification when.
  • 50:58Your media item finishes in coding,
  • 51:01so I could go start doing
  • 51:02other things in the system.
  • 51:04And whenever this video finishes in coding,
  • 51:07I'm going to get a notification
  • 51:09here that says such and such video
  • 51:11is finished encoding and talk more
  • 51:13about notifications a little bit.
  • 51:15Umm.
  • 51:15I could upload a custom thumbnail
  • 51:17here if I wanted.
  • 51:19Just like the previous version
  • 51:21of the Media library,
  • 51:22I could also select the
  • 51:24thumbnail from the video.
  • 51:24These aren't going to be available
  • 51:26until it finishes encoding,
  • 51:27so I can come back and do that later.
  • 51:30Importantly,
  • 51:30you're going to want to add
  • 51:32your alt text for the video on.
  • 51:33This really should just.
  • 51:38Be a brief description of what's in the
  • 51:39video. It doesn't have to be super long.
  • 51:43The page name will determine the URL
  • 51:46that this video is made available.
  • 51:48If somebody finishes it,
  • 51:50access it directly and it looks like my
  • 51:54media library objects finishing coding.
  • 51:56So if I unfortunately have
  • 51:58to refresh this page,
  • 51:59it's another thing we're working on.
  • 52:02And now we'll see a thumbnail.
  • 52:04I'll see my transcript.
  • 52:05This is just me recording my screens.
  • 52:07There's no.
  • 52:10No dialogue here to record,
  • 52:12but you will notice that one
  • 52:14behavior change you've made here
  • 52:16is we've always requested that
  • 52:18people approve the transcript before
  • 52:21it ever displayed on the site.
  • 52:23We're not doing that anymore.
  • 52:25I mean,
  • 52:26the negative side of this is you
  • 52:28could have a transcript that's
  • 52:29not accurate up here on this video
  • 52:32if you haven't reviewed it and
  • 52:34made corrections for typos or or
  • 52:36whatever the automated tool could
  • 52:39not understand from the video.
  • 52:41But even if there are errors,
  • 52:43it's going to be better to have a
  • 52:45transcript with that's not 100% correct,
  • 52:47then no transcript at all.
  • 52:49So these transcripts should
  • 52:51start appearing by default.
  • 52:53You know if you haven't done anything
  • 52:55to them if I do start making that it.
  • 52:57I'm going to have to click approve for
  • 53:00public access to save those changes.
  • 53:04Um. OK, here is our
  • 53:07thumbnail selection tool.
  • 53:09It's not the most dynamic video,
  • 53:11so they're not very interesting,
  • 53:12but you will see snapshots from
  • 53:14various points in the video.
  • 53:16I talked about the importance
  • 53:18of adding all text.
  • 53:19I can add credits here.
  • 53:25Aye or this video reuse.
  • 53:29Right now, the default is that
  • 53:31only I may use this video.
  • 53:34But please, no, I think we're going
  • 53:36to change this because our concern
  • 53:37is that we're going to have a lot
  • 53:38of videos that are not shareable
  • 53:40when they really don't have,
  • 53:41they don't have to be private.
  • 53:44So just know if you are uploading
  • 53:46a video that you don't want
  • 53:47anyone else using on their site,
  • 53:49make sure this says none.
  • 53:51Only I may use.
  • 53:53Otherwise,
  • 53:53it's going to become available for other
  • 53:55people to search and find in the system,
  • 53:57which normally is going to be a good thing.
  • 53:58But in the one out of 10 or one
  • 54:00out of 20 times you're uploading
  • 54:02a video that you may want to make
  • 54:04sure there's only used on some
  • 54:06very specific page of your site.
  • 54:07Maybe it's behind security. Umm.
  • 54:11Make sure it's set to name only.
  • 54:13I might use.
  • 54:14Speaking of security if if
  • 54:17it's a very secure video,
  • 54:19make sure you click requires
  • 54:22yuccas login here.
  • 54:23Even if the listing or the player
  • 54:27that the video appears in on
  • 54:30your site is secured by CAS.
  • 54:32For every media item in the system,
  • 54:35there is a dedicated page for
  • 54:37that video only and checking
  • 54:39this option will make sure that.
  • 54:41That video requires people log
  • 54:42in with CAS in order to view it.
  • 54:47Administrators. This will allow you
  • 54:49to add other people to grant other
  • 54:51people access to manage this media.
  • 54:56So if you are frequently
  • 54:58collaborating with somebody else in
  • 55:00your office on this kind of thing,
  • 55:02you're probably going to want to
  • 55:04add them as administrator so they
  • 55:05can go in and make changes to the
  • 55:07description and or the title or
  • 55:08the credits that they have to.
  • 55:12We will give you a little preview of
  • 55:15the view statistics for these videos here.
  • 55:19Umm, since they just created it,
  • 55:21there's no data here.
  • 55:22But that will populate as time goes
  • 55:25on and people watch this video.
  • 55:28Although I don't think anyone's ever
  • 55:29going to watch this particular video.
  • 55:31And we'll also tell you where it's
  • 55:33used in the system or on the websites.
  • 55:39Elvis, I'm conscious of time.
  • 55:40We've got about four minutes.
  • 55:42I think there's a couple of
  • 55:43other things we should go over.
  • 55:44Can you review the items in
  • 55:47the admin that you wanted
  • 55:48people to know about quickly?
  • 55:52The important things to note,
  • 55:53you generally won't be editing in here,
  • 55:55but a bunch of you know about this already.
  • 55:58But we have the short URL generating tool.
  • 56:01This is really useful if you're sending
  • 56:03out a link in an e-mail or posting
  • 56:05it on social media and you want a
  • 56:07URL that's going to remain static,
  • 56:09we can create these.
  • 56:10As long as it doesn't conflict
  • 56:11with some other existing URL.
  • 56:13We can create these for you.
  • 56:14We can change the target of
  • 56:16it at some time if we had to,
  • 56:17so you could send out an e-mail with a link.
  • 56:21And you maybe you just realize
  • 56:23it needs to go somewhere else.
  • 56:25We can just update the target of the
  • 56:26link and you don't have to worry about
  • 56:28sending an update with a new link.
  • 56:30It's also really useful for
  • 56:32pointing pointing to a document.
  • 56:35Or if you have to add a link
  • 56:36in a PDF document,
  • 56:38you're probably going to want it
  • 56:39to be one of these short URLs.
  • 56:41It's a really important link that
  • 56:43might change targets so you don't
  • 56:45have to then update your PDF
  • 56:47document just to update one link.
  • 56:48Umm, so that's an option you have available.
  • 56:50If you're interested in short URLs,
  • 56:52you know why I send out editor.
  • 56:56We have an integration with the Yale
  • 57:00Identity Service so that we can.
  • 57:04Add people who don't normally get
  • 57:07imported into the system if they want.
  • 57:09If they we want a profiling
  • 57:10for them to display.
  • 57:11In this scenario it's primarily applies
  • 57:13to students student information.
  • 57:15We're not very good health.
  • 57:16If a student wants to get their profile
  • 57:18on the site or we the department is
  • 57:20interested in getting the student
  • 57:21profile on the site just caught,
  • 57:22again contact us with a list of that ID's.
  • 57:24We'll get the people out in the system
  • 57:26and you can manage them on the site.
  • 57:29And.
  • 57:30Some people have external profiles.
  • 57:32You have external profiles
  • 57:34that we've created for you,
  • 57:35and those are tied to an e-mail address.
  • 57:40We've not tested this yet,
  • 57:42but they should be able to log into the
  • 57:44system and edit their profile themselves.
  • 57:46And if they can't,
  • 57:47that's something that will
  • 57:49come online pretty soon.
  • 57:50So right now in the previous system
  • 57:52you had to ask us to make edits,
  • 57:54but they'll be able to
  • 57:55manage those themselves.
  • 57:59All right. And that's that.
  • 58:01I just quickly need to talk about
  • 58:03notifications because it's a pretty big
  • 58:04aspect that we haven't discussed yet.
  • 58:06But you might notice you haven't received
  • 58:08any emails from the system once yet.
  • 58:11That's a feature we're planning
  • 58:13to turn on for tomorrow,
  • 58:15but notifications are a lot different.
  • 58:17You're not going to get separate
  • 58:19emails for events versus new people
  • 58:21appearing in your organization versus
  • 58:22if you have publications to review,
  • 58:25everybody's only going to get
  • 58:26one e-mail a day that's going
  • 58:28to list all the relevant items.
  • 58:30That you might want to look at.
  • 58:31It's actually going to be very
  • 58:33similar to what appears on this
  • 58:36dashboard to an extent.
  • 58:37It'll be a nice digest of things
  • 58:39that have changed in the system that
  • 58:42you might want to review or that
  • 58:44you might be interested in editing.
  • 58:46And those emails will go out
  • 58:48around noon every day.
  • 58:49Importantly, tomorrow being the
  • 58:51first e-mail that goes out,
  • 58:53there's about 4500 faculty that are
  • 58:55going to get emails to let them
  • 58:57know that they have publications
  • 58:59to approve and they're pending
  • 59:01publications queue on their profile.
  • 59:03So if you get feedback from your faculty.
  • 59:07That that there's something wrong.
  • 59:09Feel free to.
  • 59:11Link them to wisdom dot editor or let us
  • 59:13know and we can help fix it for them.
  • 59:16We're expecting a lot of feedback
  • 59:18tomorrow when these first turn on.
  • 59:23One other thing to cover
  • 59:25with you all is newsletters.
  • 59:26We're not going to dive into that right
  • 59:28now because we're out of time, but we are.
  • 59:33In a in a next year release,
  • 59:36but early next year,
  • 59:38we're working on building out
  • 59:40newsletter capabilities so that
  • 59:42you'll be able to create newsletters
  • 59:45directly from this system using
  • 59:47your events and your news and other
  • 59:49kind of static content and media
  • 59:52that will essentially output a
  • 59:54finalized newsletter that you can copy
  • 59:56directly into your message to send.
  • 59:59Umm, so you'll be able to create those
  • 01:00:01newsletters from data and Beatrix.
  • 01:00:03And then use your message to send those.
  • 01:00:06Someone asked about pronouns.
  • 01:00:07That's also top of the list.
  • 01:00:09That should be done by the end of the year.
  • 01:00:13Someone added asked about adding hybrid
  • 01:00:16events, hybrid locations for events.
  • 01:00:18That's a great suggestion and
  • 01:00:20we will enable that.
  • 01:00:22Should be easy to do.
  • 01:00:23It's a binary selection right now,
  • 01:00:25but we're going to fix that so
  • 01:00:26you could have both a zoom or
  • 01:00:29whatever URL and a physical location
  • 01:00:32Liz just posted in the chat list
  • 01:00:35of events of upcoming events.
  • 01:00:37We're going to do deeper dives into
  • 01:00:39portions of the system later this month
  • 01:00:41and next month, so if you've got.
