The initial review includes recommendations on how to improve the site. Once the review has been completed, the organization may either implement the changes on their own, or for an additional fee (based on the size of the site) the Web Group will implement the changes. This provides flexible options to help you determine how much work is required to achieve your organization's website goals and then create a budget or plan to implement the updates.

Additional Notes:
- One-off editing requests for clients who choose not to engage in the Website Review are billed at $35/per page in FY13.
- All substantial revisions requested for the same page will be counted as a separate page.
- Major website overhaul is priced in the Small ($2k), Medium ($5k), and Large ($10k and up) project plan.

- Once the review is completed, and the client decides to engage the Web Group to implement the recommendations, the remainder of the fee will be billed at the end of the project.

How It Works
- The YSM organization will contact the Web Group to request a site review, providing any information regarding their expectations and concerns regarding their site so the Web Group can incorporate them into their process. The Web Group will generate an agreement clearly outlining the responsibilities, cost and timeline of both parties, which must be signed before work begins.
- The Web Group will review the website, page by page, and create a document with specific concerns and recommendations for the site as a whole and particular to each page. These concerns and recommendations include but are not limited to: text changes, navigation changes, replacing images, replacing documents, and updating architecture.
- The Web Group generally takes up to two weeks (from the date the review begins) to solidify recommendations and provide the document to the organization for review.
- The organization then has up to one week to review and provide feedback on the document. If the organization asks the Web Group to implement the recommendations then the Web Group will complete all updates within one to three weeks (depending on the number of pages within the website). Once the updates are applied the organization will have one week to assess their satisfaction with the changes and provide feedback before the Web Group will post the site live, at which point the remaining fee will be billed.
The Web Group’s Responsibilities
| Project Management Tool | The Web Group will provide Basecamp access (the Group’s online client project management tool) for the organization and will use this tool to communicate deadlines and messages to the organization’s website coordinator. |
| One to Three Week Turnaround | The Web Group make edits and sends a preview of the updated website for the website coordinator to review and approve within one to three weeks from the date the recommendations are agreed to be implemented. |
| Timely Communication | The Web Group will communicate with the organization’s website coordinator via Basecamp if there are any questions or if there is any difficulty involved in making the edits that unexpectedly delays the completion of the project. |
| Web Formatting | The update includes proper web formatting; however, the organization is responsible for the text. The Web Group can help the organization identify a freelance writer to assist, if needed. |
The Organization’s Responsibilities
| Coordinator | The organization will appoint a single website coordinator who will liaise between the organization’s interested parties and the Web Group. |
| Updates Approved, Consolidated, and Specific | The website coordinator will supply the Web Group with updates, including instructions, which are approved by all interested parties (including leadership), consolidated in one Word document, and uploaded to Basecamp, using track changes from the original website text, if applicable. Included in the Word document will be the URL of the page to be changed, and any descriptive notes that will help the Web Group clearly understand the requests. |
| Image Size | All images should be at least 1,000 pixels wide and sent as individual files (not embedded in the Word document). See the YSM Photography Guidelines document for more information. |
| Timeline | The website coordinator will provide the Web Group with updates on the dates specified in this agreement. Delays will mean the timeframe will be readjusted. |
Outside the Scope
If the update requires a major overhaul to the website (on the scale of building a new website), the Web Group will meet with the website coordinator to review the needs, and propose a project cost and timeline separate from this Web Editing Service. Major overhauls are priced in the Small ($2k), Medium ($5k), and Large ($10k and up) project plan and are not included in this service agreement.
In addition, the organization is expected to keep faculty profiles and calendars up to date. Support for these tools is provided by the Web Group, but the group does not make updates to the content in these tools.
