Create Availability

Before users can reserve your resource, you need to create its availability for them. You will need to determine ahead of time how long you would like the slots to be, and how often. For instance, you might have:

  • 24 slots each weekday, one per hour
  • 1 24-hour slot each day, including weekends
  • 8 one-hour slots each day (from 9:00 a.m. to 4:00 p.m.)
  • 4 two-hour slots, with a half-hour in between each slot for cleaning up.

The fields on this pop-up screen are described below:

  1. Start Date: Select the date of the first available reservation slot
  2. Time: How long will your reservation be? If it is one hour, and it starts at 9:00 a.m., then select From 9:00 AM until 10:00 AM
  3. Status: “Confirmed” is pre-selected. “Cancelled” is an option you can use later on if you need to shut the resource down for maintenance, for instance.
  4. Public Message: If you fill this field out, it only shows up in that reservation slot. You might use this if you want to shut the resource down for maintenance and explain to people why.
  5. Recurrence: Recurrence operates the way scheduling does in a google calendar or an outlook calendar.
    • Do not repeat: If you select this, you are creating a single reservation slot on a single day
    • Daily: This is not a commonly used option. However, use this option if you want to make one slot available at the same time each day (including weekends), or perhaps one slot available every other day for the next 200 days.
    • Weekly: To have this slot available on weekdays, select: “Mon, Tues, Wed, Thu,Fri” and then select the Range of Recurrence.
    • Monthly: Here you can make your slot available the first day of every month (no matter weekday or weekend) or the first Monday of every month, for instance. Then select your Range of Recurrence.
    • Yearly: This option is not very commonly used, however, here you can select to have this slot available the 23rd of every March, for instance, or the second Tuesday in September.
    • Range of Recurrence: For all of these, you must select a Range of Recurrence. You can have your slot never stop repeating, repeat only after any number of occurrences, or end on a specific date.
